Job Description – Branch Manager

Position: Branch Manager

Role SummaryThe Branch Manager will be responsible for the complete day-to-day functioning of the branch. The person will coordinate with employees, technicians, service providers, customers and the head office to ensure that all work is completed on time and according to company standards.

This role requires strong coordination, communication, documentation and leadership skills. The Branch Manager must take ownership of branch activities and ensure that work continues smoothly without unnecessary delays.

  • Key Responsibilities1. Team Coordination and Task ManagementCoordinate with sales, service, technical, administrative and field teams.
  • Assign daily, weekly and monthly tasks to team members.
  • Clearly communicate work priorities, deadlines and expected outcomes.
  • Monitor the progress of assigned work.
  • Follow up with employees until tasks are completed.
  • Resolve operational difficulties faced by team members.
  • Maintain discipline, punctuality and accountability within the branch.
  • 2. Customer CoordinationSpeak with customers regarding registrations, service requests, complaints and pending work.
  • Understand customer requirements and assign them to the appropriate team member.
  • Keep customers informed about service schedules and work progress.
  • Handle escalated customer complaints professionally.
  • Ensure that customers receive timely responses and satisfactory service.
  • Maintain proper records of customer calls, commitments and follow-ups.
  • 3. Service and Project CoordinationCoordinate site visits, inspections, repairs, maintenance and other field activities.
  • Assign technicians or registered service providers according to location and work requirements.
  • Confirm availability of manpower, material, tools and documents before scheduling work.
  • Monitor the progress of every service request until completion.
  • Verify service reports, photographs, customer approvals and completion documents.
  • Ensure that completed work follows Solar County’s technical and service standards.
  • 4. Compliance and DocumentationEnsure that all branch paperwork is completed correctly and on time.
  • Maintain customer records, plant details, service reports, invoices and payment records.
  • Coordinate documentation related to government departments, electricity distribution companies, net metering, subsidies, warranties and other approvals.
  • Follow up with customers, vendors and authorities for pending documents.
  • Ensure that all files are properly maintained in physical and digital formats.
  • Keep branch records ready for management review, audit and compliance checks.
  • 5. Branch OperationsTake responsibility for the smooth daily operation of the branch.
  • Prepare daily work plans and review pending activities.
  • Ensure proper use of the company CRM, administration portal and reporting systems.
  • Maintain branch assets, equipment, stationery and operational requirements.
  • Coordinate with the head office regarding approvals, payments, staffing and important decisions.
  • Identify operational problems and take timely corrective action.
  • Ensure that no customer request, service case or official task remains unattended.
  • 6. Quality and Performance ControlEnsure that every task is completed according to company processes and quality standards.
  • Review customer feedback and identify areas for improvement.
  • Monitor the quality of work performed by employees, technicians and service providers.
  • Reduce delays, repeated complaints and incomplete documentation.
  • Conduct regular team meetings and performance reviews.
  • Train team members on customer handling, documentation and branch processes.
  • 7. Reporting to ManagementSubmit daily, weekly and monthly branch reports.
  • Report completed work, pending cases, customer complaints, collections and operational challenges.
  • Maintain a dashboard of all active and pending tasks.
  • Provide accurate updates to directors and the head office.
  • Highlight serious customer, technical, financial or compliance issues immediately.

Key Performance IndicatorsThe Branch Manager’s performance will be evaluated on:

  • Percentage of tasks completed within the deadline.
  • Number of pending customer and service requests.
  • Customer response and resolution time.
  • Quality and completeness of documentation.
  • Customer satisfaction and complaint resolution.
  • Team productivity and discipline.
  • Accuracy of branch reports.
  • Collection and payment follow-up.
  • Compliance with company processes.
  • Overall growth and smooth functioning of the branch.
  • Required QualificationsGraduate in Business Administration, Management, Commerce, Engineering or a related field.
  • MBA or experience in operations management will be an advantage.
  • Minimum 3–5 years of experience in branch operations, service coordination, project coordination or team management.
  • Experience in the solar, electrical, maintenance, construction or service industry will be preferred.
  • Required SkillsStrong leadership and team coordination skills.
  • Excellent customer communication and complaint-handling ability.
  • Good task planning and follow-up skills.
  • Strong documentation and record-management skills.
  • Ability to handle multiple tasks and priorities.
  • Working knowledge of MS Office, Google Sheets, email and CRM software.
  • Ability to communicate in English, Hindi and Marathi.
  • Responsible, disciplined and solution-oriented approach.
  • Ability to work independently and take ownership of branch operations.

Preferred Candidate ProfileThe ideal candidate should be someone who does not wait for repeated instructions. The person should identify pending work, assign responsibility, follow up and ensure completion.

The candidate should be comfortable speaking with customers, employees, technicians, vendors and government or utility representatives. The Branch Manager must maintain a professional work culture and ensure that the branch delivers consistent service according to Solar County standards.

Authority and AccountabilityThe Branch Manager will have the authority to:

  • Assign and prioritise work within the branch.
  • Schedule employees, technicians and service providers.
  • Escalate delays and performance issues.
  • Communicate with customers on behalf of the branch.
  • Recommend improvements in staffing and branch processes.

The Branch Manager will be accountable for the timely completion of work, customer satisfaction, proper documentation, team discipline and the overall performance of the branch.
