Job Description

1. Job Summary

The Base Office Operations Executive is responsible for coordinating and managing operations across multiple client sites from the base office. The role ensures smooth service delivery, compliance with SLAs, workforce management, client coordination, reporting, and administrative control. The executive acts as a central point between site teams and management.

 

2. Key Responsibilities

A. Operations Coordination

• Monitor daily operations of multiple sites from the base office. 

• Ensure service delivery as per SLA/KPI commitments. 

• Coordinate with site supervisors for manpower deployment and issue resolution. 

• Track attendance, absenteeism, and shift planning. 

• Make sure that all site staff mark their attendance in the company attendance app.

B. Manpower Management

• Maintain manpower records across all sites. 

• Arrange relievers for absenteeism and emergency requirements. 

• Support recruitment coordination for site requirements. 

• Ensure proper onboarding and deployment of staff. 

C. Client Coordination

• Act as a single point of contact for clients for multiple sites. 

• Address client concerns, complaints, and service requests. 

• Ensure client satisfaction and maintain strong relationships. 

D. Documentation & Reporting

• Maintain MIS reports for all sites (attendance, billing, compliance, etc.). 

• Prepare daily, weekly, and monthly operational reports. 

• Track SLA performance and escalate deviations. 

• Maintain records of contracts, agreements, and compliance documents. 

E. Billing & Commercial Support

• Coordinate with the billing team for invoice preparation. 

• Ensure all supporting documents (attendance, logbooks, etc.) are accurate. 

• Track invoice submission and payment follow-ups. 

F. Compliance & Audit

• Ensure statutory compliance (ESI, PF, minimum wages, etc.). 

• Maintain audit-ready documentation for all sites. 

• Support internal and external audits. 

G. Vendor & Material Management

• Track material requirements across sites. 

• Coordinate procurement and timely supply. 

• Maintain inventory records and usage tracking. 

H. Issue Escalation & Resolution

• Identify operational issues and escalate to management. 

• Ensure timely resolution of complaints and breakdowns. 

• Maintain incident reports and corrective action logs.
