Job Description

The Admin Coordinator is responsible for managing daily administrative activities, handling official email communications, coordinating with internal and external stakeholders, maintaining records, and supporting smooth office operations. The role requires strong email management skills, professional communication, and excellent coordination abilities.


Experience: 0.6-1 years of experience in Admin/System coordinator (Mandatory).


  • Key Responsibilities:
  • Manage and monitor official email accounts and ensure timely responses to incoming emails.
  • Draft, format, and send professional emails, letters, notices, and official communications.
  • Coordinate email communication between management, employees, clients, vendors, and other stakeholders.
  • Track email requests, follow-ups, and ensure timely closure of pending actions.
  • Maintain email records, correspondence files, and document archives.
  • Prepare and share daily/weekly status updates, reports, and administrative communications.
  • Schedule meetings, send meeting invitations, and coordinate follow-ups.
  • Handle document preparation, scanning, filing, and record maintenance.
  • Coordinate with different departments for required information and updates.
  • Maintain confidentiality of company communications and sensitive information.
  • Support administrative tasks including office coordination, vendor communication, and data management.


  • Required Skills & Qualifications:
  • Bachelor’s degree, System Management, Email Follow ups or related field.
  • Good knowledge of professional email drafting and communication etiquette.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to manage multiple emails, tasks, and priorities.
  • Good organizational skills and attention to detail.
  • Ability to maintain proper documentation and follow-up records.


  • Preferred Skills:
  • Experience in handling email communication.
  • Knowledge of office administration processes.
  • Experience with Microsoft Outlook, Google Workspace, or similar email platforms.
  • Ability to prepare reports and maintain trackers.


  • Key Performance Indicators (KPIs):
  • Timely response and management of official emails.
  • Accuracy and professionalism of email communication.
  • Proper tracking and closure of requests.
  • Effective coordination with internal and external stakeholders.
  • Maintenance of accurate records and documentation.


Experience: 0.6-1 years of experience in administration, email coordination, customer support, or office coordination roles.
