Job Description
- Key Responsibilities:-
- Front Office & ReceptionWelcome clients with a warm and professional attitude.
- Maintain a clean, organized, and presentable reception area.
- Handle incoming phone calls and direct them to the concerned department.
- Schedule, reschedule, and confirm client appointments.
- Maintain the daily appointment register & treatment of clients
- Administrative SupportMaintain client files, forms, consent documents, and treatment records.
- Prepare daily, weekly, and monthly reports.
- Update client information in CRM or software.
- Assist in documentation, filing, and data entry.
- Maintain attendance records of employees.
- Billing & Cash HandlingGenerate invoices and receipts.
- Collect payments through cash, card, UPI, or online methods.
- Maintain daily cash records and submit reports to the Branch Manager.
- Coordinate with the accounts department regarding payments and collections.
- Inventory ManagementMaintain stock of consumables, stationery, and clinic supplies.
- Record stock inward and outward.
- Inform management about low-stock items.
- Coordinate with vendors for office requirements.
- Client CoordinationConfirm appointments through phone calls or WhatsApp.
- Follow up with clients for scheduled sessions.
- Assist clients with treatment schedules and package information.
- Coordinate between therapists, dieticians, and clients.
- Branch OperationsEnsure treatment rooms and reception remain organized.
- Coordinate housekeeping and cleanliness.
- Assist in organizing promotional activities and events.
- Support the Branch Manager in daily operational activities.
- DocumentationMaintain employee files.
- Maintain treatment consent forms.
- Organize invoices and purchase records.
- Keep confidential company and client documents secure.
- Required SkillsGood communication and interpersonal skills.
- Basic computer knowledge (MS Word, Excel, Email).
- Knowledge of billing software or CRM is an advantage.
- Good organizational and time management skills.
- Ability to multitask.
- Pleasant personality with customer service orientation.
