Job Title: Back Office Executive & Secretary to the DirectorJob SummaryWe are looking for a highly organized, trustworthy, and proactive Back Office Executive & Secretary to the Director. The ideal candidate will handle day-to-day administrative operations, provide executive support to the Director, maintain confidential records, coordinate with internal departments, and ensure smooth office functioning.
- Key Responsibilities
- Executive & Secretarial SupportManage the Director's calendar, appointments, and meetings.
- Schedule and coordinate internal and external meetings.
- Prepare meeting agendas, minutes, and follow-up action points.
- Screen phone calls, emails, and correspondence on behalf of the Director.
- Draft letters, emails, reports, presentations, and other business documents.
- Maintain complete confidentiality of sensitive business information.
- Arrange travel, accommodation, and itineraries for the Director when required.
- Back Office OperationsMaintain physical and digital filing systems.
- Prepare quotations, invoices, purchase orders, and other business documents.
- Coordinate with accounts, marketing, admissions, and other departments.
- Maintain customer, vendor, and student records accurately.
- Handle document verification and data entry.
- Ensure timely submission of reports and MIS.
- Maintain office supplies and coordinate with vendors.
- Coordination & CommunicationFollow up with clients, vendors, and internal teams.
- Coordinate with staff for task completion and deadlines.
- Maintain records of meetings and project updates.
- Support HR and administration activities whenever required.
- DocumentationMaintain confidential files and company records.
- Prepare daily, weekly, and monthly reports.
- Organize contracts, agreements, and important documents.
- Ensure proper documentation and record management.
- Required SkillsExcellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Good knowledge of MS Office (Word, Excel, PowerPoint).
- Ability to prepare professional emails and reports.
- High level of confidentiality and professionalism.
- Good follow-up and coordination skills.
- Time management and problem-solving abilities.
- Basic knowledge of internet, email management, and online documentation.
- Preferred QualificationsGraduate in any discipline (B.Com, BBA, BA, or equivalent).
- 1–3 years of experience in administration, back office, or executive secretary roles.
- Freshers with excellent communication and organizational skills may also apply.
- Preferred QualitiesPositive attitude and willingness to learn.
- Professional appearance and etiquette.
- Ability to work independently and under pressure.
- Strong attention to detail.
