Job Description
Job Summary
The Executive Secretary provides high-level administrative and organizational support to COO in a fast-paced real estate environment. This role requires exceptional coordination skills, discretion, and the ability to manage multiple priorities, including client interactions, project documentation, and executive communications.
Key Responsibilities
1. Executive Support
- Manage COO calendars, appointments, and travel arrangements
- Coordinate internal and external meetings, including investor and client meetings
- Prepare agendas, presentations, and briefing materials.
- Handle confidential documents with discretion.
- COO Office management.
2. Communication Management
- Screen calls, emails, and correspondence on behalf of COO.
- Draft professional emails, reports, and announcements.
- Act as a liaison between top management, clients, CP’s, external stakeholders and internal teams
3. Real Estate Coordination
- Maintain records of property listings, agreements, and transactions
- Track project timelines and follow up with stakeholders
- Assist in preparing proposals, property presentations, and marketing materials
4. Documentation & Reporting
- Maintain organized filing systems (digital and physical)
- Prepare MIS reports, meeting minutes, and COO/CEO summaries.
5. Office & Administrative Management
- Organize events, exhibition team meeting, & other general outings or other team outings.
- Ensure smooth day-to-day office operations for the corporate office team
- Coordinate with vendors, consultants, SLA’s, Stakeholders, Associate advocates & Business delegates.
Criteria
- MBA preferred, Bachelor’s degree in Business Administration, Commerce, or related field
- 3–4 years of experience as an Executive Secretary / Executive Assistant (preferably in real estate or construction)
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- AI tools usage.
- CRM software (Knowledge & Experience)
- Good command over English (Oral/ presentation/ written)
- Well-groomed personality of either gender.
