Job Description
Job Title: Personal Secretary / Executive Assistant to Managing Director
Company: SNN Foods Private Limited
Reporting To: Managing Director (Mr. N. V. Vinod Kumaar)

Role Overview
The Personal Secretary will act as the central coordination point for the Managing Director, handling communication, scheduling, follow-ups, and internal team coordination. This role requires strong organizational skills, professional communication, and the ability to represent the MD in business interactions.

Key Responsibilities
1. Communication Management
* Manage and respond to all communications on behalf of the MD, including:
* Emails
* Draft professional emails and replies for business inquiries, proposals, and follow-ups
* Maintain timely responses to clients, distributors, and partners

2. Client & Business Coordination
* Contact customers, distributors, and business partners on behalf of the MD
* Follow up on:
* Pending orders
* Meetings
* Payments (in coordination with Accounts team)
* Maintain a database of all contacts and communication history

3. Calendar & Meeting Management
* Schedule and manage meetings, calls, and appointments
* Organize and send invites for:
* Google Meet / Zoom meetings
* Ensure the MD is prepared with agendas, documents, and reminders

4. Internal Team Coordination
* Follow up with different departments on behalf of the MD:
* Accounts Team: Payments, invoices, outstanding dues
* Production Team: Order status, dispatch timelines
* HR Team: Hiring updates, employee matters
* Marketing Team: Campaigns, creatives, pending deliverables
* Track pending tasks and ensure timely completion

5. Documentation & Reporting
* Draft, review, and manage business documents and emails
* Maintain records of:
* Meetings
* Follow-ups
* Pending tasks
* Provide daily/weekly updates to the MD

Required Skills & Qualifications
* Strong communication skills in English (mandatory)
* Basic knowledge of business communication and email drafting
* Proficiency in:
* WhatsApp Business
* Email platforms (Gmail/Outlook)
* Google Calendar & Google Meet
* Good organizational and multitasking skills
* Professional and polite communication style

Preferred Qualifications
* Experience as a Personal Assistant / Executive Assistant
* Exposure to FMCG / Food Industry (preferred but not mandatory)
