Purchase Associate

Key Responsibilities

• Placing daily orders according to order lists
• Coordination with operations and kitchen manager

Procurement – Sourcing & Profitability·      

Source and procure top-quality food ingredients, beverages, and event consumables aligned with Banquet 18’s standards of luxury and freshness.

·      Identify boutique and specialty vendors to elevate the culinary narrative for themed events and bespoke menus.

·      Negotiate pricing, terms, and delivery schedules to ensure cost efficiency without compromising on quality.

·      Stay updated on market trends, seasonal produce, and product innovations.

·      Maintain profitability and suggest ways to improve cost efficiency through vendor evaluation and market mapping.

·      Liaise with the Kitchen Manager to review stock levels and recommend improvements to senior management.

Coordination & Communication·    

  Collaborate with the culinary and operations teams to anticipate purchasing requirements for upcoming events.

·      Coordinate daily with Stores and Finance for order approvals, inventory reconciliation, and vendor payments.

·      Ensure smooth communication between departments to prevent shortages or last-minute procurement gaps.

·      Take ownership of departmental indents, stock accuracy, and profitability reporting to senior management.

Quality & Compliance·      

Verify quality, freshness, and authenticity of all incoming goods in coordination with the Kitchen Manager and store receiver.

·      Maintain hygiene and handling standards in compliance with FSSAI and Banquet 18’s internal protocols.

·      Conduct random vendor audits to ensure quality, safety, and ethical compliance.

Inventory & Documentation·      

Monitor stock levels and initiate replenishment proactively to maintain optimal inventory.

·      Maintain accurate purchase records through ERP systems and proper documentation.

·      Support cost tracking and contribute to the company’s budget optimization efforts.

Vendor Management·    

Build and nurture long-term relationships with trusted suppliers.

·      Explore new markets and specialty producers aligned with Banquet 18’s ethos of quality and creativity.

·      Handle vendor negotiations and evaluations with professionalism and fairness.

Desired Skills & Attributes·      

Deep knowledge of premium F&B ingredients and sourcing channels.

·      Excellent negotiation, coordination, and analytical abilities.

·      Strong organizational skills and attention to detail.

·      Proactive, resourceful, and comfortable in a fast-paced, event-driven environment.

·      Tech-savvy with hands-on experience in procurement or inventory software (ERP, Excel, etc.).
