Job Description

Job Overview:

The Inventory & Purchase Assistant is responsible for ensuring the seamless flow of goods across all outlets, managing stock levels, coordinating with vendors, and maintaining accurate records for both daily operations and monthly reporting. This role requires meticulous attention to detail, strong organizational skills, and proactive communication with vendors and internal teams to ensure operational efficiency.


Key Responsibilities:


Daily Tasks:

·        Review N/A (Not Available) items in all outlets, investigate reasons for unavailability, and arrange stock replenishment.

·        Follow up with vendors regarding supply for ordered goods.

·        Check and verify delivered goods for accuracy and quality. (As per details mentioned in the invoice)

·        Consult with vendors regarding undelivered goods and request credit notes when necessary.

·        Review outlet orders and reconcile with available inventory.

·        Monitor and reconcile Inventory Management System (IMS) records.

·        Review purchase balances every 10 days for cost control and efficient purchasing.

·        List and segregate stock requirements for procurement.

·        Ensure timely supply of goods to respective outlets according to the indent.


Monthly Tasks:

·        Prepare and dispatch closing inventory and SOP sheets to all outlets.

·        Collect monthly closing reports from all outlets.

·        Coordinate with vendors and suppliers to verify ledger balances.

·        Fill elements of the monthly report, including:

o   Closing Stock Evaluation

o   CCG Inventory

o   Item-wise Sales

o   Sales Distribution

o   Daily Sales and Sales Transactions (e.g., Bellandur outlet)

o   Wastage Evaluation


Occasional Tasks:

 

·        Prepare costing sheets.

·        Create fresh bake tags.

 

 

Qualifications & Skills:

·        Proven experience in inventory management, vendor coordination, or procurement.

·        Strong organizational and analytical skills.

·        Attention to detail and accuracy in record-keeping.

·        Proficient in IMS or similar inventory management software.

·        Good communication and negotiation skills.

·        Ability to multitask and manage time effectively.


Work Environment:

·        Office-based with regular communication with multiple outlets and vendors.

·        May require occasional travel to outlets or vendors for verification and coordination.
