Role Overview

We are seeking a highly motivated and detail-oriented Partner Contracts Systems & Operations Specialist to support and enhance our contract management capabilities within the Partner Contracts space. This role will serve as the Icertis System Administrator and process improvement driver, ensuring system stability, operational efficiency, and continuous improvement of workflows.

The role sits at the intersection of systems administration, operations, and project delivery, working closely with operational teams, IT, and project managers to ensure the Icertis platform effectively supports business needs.

Key Responsibilities

1. Icertis System Administration

  • Act as the primary administrator for the Icertis Contract Management system
  • Perform day-to-day system maintenance and configuration updates
  • Manage user access, roles, and permissions
  • Execute bulk updates and data maintenance activities
  • Ensure system performance, data integrity, and compliance with internal standards

2. Issue Management & Root Cause Analysis

  • Investigate and resolve system-related issues through structured root cause analysis
  • Act as the primary point of contact for escalations related to Icertis
  • Partner closely with IT teams to track, investigate, and resolve defects
  • Drive timely resolution of issues and communicate updates to stakeholders

3. Process Optimization & Automation

  • Identify opportunities to automate manual tasks and streamline workflows
  • Analyze bottlenecks in contract lifecycle processes and recommend improvements
  • Collaborate cross-functionally to design and implement scalable solutions
  • Contribute to enhancing end-to-end contract management processes

4. Testing & Deployment Support

  • Support system testing (UAT, regression, etc.) for enhancements and releases
  • Participate in Monthly/Minor Technical Patch (MTP) cycles and deployments
  • Validate system changes to ensure alignment with business requirements
  • Document test results and coordinate fixes where necessary

5. Operational Enablement & Training

  • Provide ongoing support to operational teams using Icertis
  • Develop and deliver training materials and sessions
  • Act as a subject matter expert (SME) for tool usage and process best practices
  • Promote adoption of system features and improved ways of working

6. Continuous Improvement & Stakeholder Collaboration

  • Proactively identify process and tool improvement opportunities
  • Engage with relevant teams (IT, Operations, Product Owners) to design solutions
  • Gather feedback from users to enhance system usability and effectiveness

7. Project Delivery

  • Work closely with Project Managers to support and lead initiatives
  • Manage assigned workstreams to ensure timely delivery of project milestones
  • Coordinate across stakeholders to ensure alignment and execution
  • Contribute to successful implementation of system and process enhancements

Required Qualifications

  • Experience with Icertis Contract Management (ICM) or similar CLM platforms
  • Strong understanding of contract lifecycle management processes
  • Proven experience in system administration or operations support roles
  • Experience in issue investigation, root cause analysis, and escalation management
  • Familiarity with testing methodologies (UAT, regression testing)
  • Strong stakeholder management and communication skills

Preferred Qualifications

  • Experience working in cross-functional or global environments
  • Exposure to process improvement methodologies (Lean, Six Sigma, or similar)
  • Understanding of automation tools or workflow technologies
  • Experience working with IT teams and Agile delivery models
