Position Overview
The Soft Services Executive is responsible for overseeing and coordinating non-technical facility services to ensure optimal workplace environments for clients. This role involves managing service delivery, vendor relationships, and quality standards across cleaning, catering, security, landscaping, and other hospitality services within commercial properties.
Key Responsibilities
Service Delivery Management Coordinate and supervise soft services operations including cleaning, waste management, pest control, catering, security, and landscaping services. Monitor service quality against established standards and client expectations, conducting regular inspections and audits. Ensure compliance with health, safety, and environmental regulations across all service areas.
Vendor and Contract Management Manage relationships with multiple service providers and subcontractors. Monitor contract performance, resolve service issues, and ensure adherence to service level agreements. Negotiate contract renewals and variations as required. Conduct vendor performance reviews and implement improvement plans when necessary.
Client Relationship Management Serve as primary point of contact for client soft services requirements. Respond promptly to client requests, complaints, and feedback. Prepare regular service reports and presentations for clients. Conduct client meetings to review performance and discuss service enhancements.
Budget and Cost Control Monitor soft services budgets and expenditures. Identify cost optimization opportunities while maintaining service quality. Prepare budget forecasts and variance reports. Approve invoices and manage purchase orders within delegated authority limits.
Team Leadership and Development Supervise soft services staff and coordinate training programs. Conduct performance evaluations and provide coaching to team members. Ensure adequate staffing levels and manage shift schedules. Foster a collaborative team environment focused on service excellence.
Required Qualifications
Education and Experience Bachelor's degree with Minimum 3-5 years of experience in facilities management or soft services operations. Experience managing multiple service contracts and vendor relationships essential.
Technical Skills Proficiency in facility management software systems and Microsoft Office Suite. Strong understanding of health and safety regulations, environmental compliance, and industry best practices. Knowledge of contract management principles and procurement processes.
Core Competencies Excellent communication and interpersonal skills with ability to manage diverse stakeholder relationships. Strong problem-solving abilities and attention to detail. Proven leadership capabilities with experience managing teams. Customer service orientation with focus on exceeding client expectations.
Working Conditions
This position requires flexibility to work across multiple client sites and may involve occasional evening or weekend coverage. Some physical activity required including site inspections and emergency response situations.
