Operations Executive

About the Role:

We are looking for a proactive and well-spoken Guest Coordinator to join our operations team. You will be the primary point of contact for guests appearing in our shoots/events — from the first call to on-ground coordination on the day of the shoot.

What You Will Do:

Reach out to potential and confirmed guests via calls to invite and brief them about the shoot

Coordinate scheduling and confirm availability of guests well in advance

Attend all shoots at the location and manage guests on-ground

Follow up regularly to ensure guests are prepared, informed, and arrive on time

Maintain a structured database of guest details, call logs, and shoot schedules

Coordinate internally with the production/creative team to align guest requirements with shoot plans

Handle last-minute changes or cancellations professionally and arrange alternatives if needed

Who You Are:

Excellent verbal communicator — confident on calls and in person

Highly organized with strong follow-up discipline

Comfortable working on location with flexible shoot schedules

Calm under pressure and able to manage multiple guests/shoots simultaneously

Prior experience in operations, guest relations, event coordination, or media production is preferred
