Role Summary
The Senior Executive – HR is responsible for independently managing and executing all core Human Resources functions of the organization. The role will oversee recruitment, employee relations, performance management, payroll coordination, statutory compliance, training and development, HR administration, and policy implementation. The incumbent will ensure smooth HR operations, compliance with labour laws, employee engagement, and alignment of HR practices with organizational objectives.
Key Responsibilities
1. Recruitment & Talent Acquisition
- Manage end-to-end recruitment activities for various positions.
- Coordinate manpower requisitions with department heads.
- Source candidates through job portals, consultants, social media, and employee referrals.
- Screen applications, conduct preliminary interviews, and coordinate final interviews.
- Prepare offer letters, appointment letters, and joining documentation.
- Maintain recruitment databases and hiring reports.
- Support employer branding and talent pipeline development initiatives.
2. Employee On boarding & Induction
- Coordinate joining formalities and documentation.
- Conduct employee induction and orientation programs.
- Facilitate departmental on boarding and training schedules.
- Ensure smooth integration of new employees into the organization.
- Maintain employee personal files and records.
3. Employee Relations & Engagement
- Act as a point of contact for employee concerns and grievances.
- Support implementation of employee engagement programs and activities.
- Coordinate employee welfare initiatives, celebrations, and recognition programs.
- Promote a positive work culture and employee satisfaction.
- Conduct employee feedback surveys and analyse results.
4. Performance Management System (PMS)
- Implementation and administration of performance appraisal processes.
- Coordinate goal setting, review meetings, and performance evaluations.
- Maintain performance records and reports.
- Support identification of high performers and succession planning initiatives.
- Assist managers in performance improvement plans where required.
5. Training & Development
- Identify training needs in coordination with department heads.
- Coordinate internal and external training programs.
- Maintain training calendars and attendance records.
- Monitor effectiveness of training programs.
- Support leadership development and skill enhancement initiatives.
6. Payroll & Compensation Administration
- Coordinate monthly payroll inputs including attendance, leave, overtime, incentives, and deductions.
- Verify payroll data for accuracy before processing.
- Assist in salary revisions, promotions, and compensation reviews.
- Handle employee queries related to salary and benefits.
- Maintain confidentiality of payroll and compensation data.
7. Statutory Compliance & Labour Laws
- Ensure compliance with all applicable labour laws and statutory regulations.
- Coordinate PF, ESIC, PT, Bonus, Gratuity, and Labour Welfare Fund activities.
- Maintain statutory records, registers, and documentation.
- Coordinate statutory inspections and audits.
- Assist management in legal and compliance matters related to employment.
8. Attendance & Leave Management
- Monitor employee attendance and leave records.
- Ensure timely updating of attendance systems.
- Verify leave applications and maintain leave balances.
- Generate attendance and absenteeism reports.
- Support implementation of attendance policies and disciplinary procedures.
9. HR Operations & Administration
- Maintain employee records and HRMIS database.
- Prepare HR reports, dashboards, and MIS for management review.
- Draft HR letters, notices, policies, and employee communications.
- Ensure proper documentation and record management.
- Support implementation of HR systems and process improvements.
10. Policy Implementation & Governance
- Formulation and implementation of HR policies and SOPs.
- Ensure adherence to company rules, policies, and code of conduct.
- Support disciplinary proceedings and domestic inquiries when required.
- Monitor compliance with organizational policies across departments.
11. Employee Separation & Exit Management
- Manage resignation, notice period, and exit formalities.
- Conduct exit interviews and prepare attrition analysis reports.
- Coordinate full and final settlement processes.
- Ensure recovery of company assets and closure documentation.
- Maintain records of employee exits and retention trends.
12. HR Reporting & Analytics
- Prepare monthly HR MIS reports.
- Track recruitment, attrition, absenteeism, manpower, and training metrics.
- Analyze workforce trends and recommend improvements.
- Provide HR data and reports to management as required.
