Job Title: Personal Assistant (PA) to the CEO

Role OverviewWe are seeking a sharp, highly organized, and articulate Personal Assistant to directly support our CEO. This is a critical role that blends executive administration with basic legal drafting and high-level corporate presentation management. The ideal candidate will act as the CEO's gatekeeper and trusted aide, ensuring smooth daily operations and professional representation of the executive office.
- Key Responsibilities & Job Roles (10 Points)1. Legal Drafting & Documentation: Assist the CEO in reviewing, vetting, and preparing basic legal documents, including lease agreements, vendor contracts, non-disclosure agreements (NDAs), and standard real estate affidavits.
- 2. High-Impact Presentation Making: Design, structure, and refine professional PowerPoint presentations for the CEO's high-stake investor meetings, project pitches, and internal corporate reviews.
- 3. Calendar & Schedule Management: Strategically manage the CEO's daily calendar, prioritize conflicting appointments, and ensure an optimal workflow for site visits and corporate meetings.
- 4. Meeting Minutes & Action Tracking: Attend executive-level board and stakeholder meetings alongside the CEO; accurately record Minutes of Meetings (MoM) and rigorously follow up on action items with department heads.
- 5. Executive Correspondence: Draft, proofread, and manage critical communications (emails, formal letters, and notifications) on behalf of the CEO with corporate partners, government authorities (like BDA/BMC), and clients.
- 6. Client & Stakeholder Liaison: Act as the primary point of contact between the CEO’s office and internal/external stakeholders, maintaining high confidentiality and diplomacy at all times.
- 7. Research & Briefing Preparation: Conduct legal and market research on real estate trends, local land bylaws, or compliance requirements, and prepare concise summary briefs for the CEO before key meetings.
- 8. Travel Coordination: Manage end-to-end travel itineraries, including flights, accommodation, local transport, and detailed agendas for the CEO’s business tours.
- 9. Data Management & Filing: Establish and maintain a highly secure, organized digital and physical filing system for confidential corporate documents, legal papers, and project files.
- 10. Gatekeeping & Task Prioritization: Filter incoming calls, emails, and visitor requests, resolving routine matters independently to maximize the CEO’s time for core strategic operations.
- Key Skills RequiredStrong understanding of corporate law terms and contract drafting basics (an LLB or legal background is a massive advantage).
- Advanced proficiency in Microsoft Office (specifically PowerPoint, Word, and Excel).
- Flawless verbal and written communication skills.
- Ability to work under pressure and meet tight real estate project deadlines.
