Job Description

We are looking for a highly reliable and proactive Executive Assistant to work directly with the Founder across business coordination, scheduling, operational support, and day-to-day execution.

This is a high-trust role for someone who enjoys organizing, solving problems, coordinating tasks efficiently, and helping fast-moving teams operate smoothly. The role will involve both office-based coordination and on-ground execution when required.

The ideal candidate is dependable, organized, tech-comfortable, responsive, and capable of handling dynamic situations calmly.


Key Responsibilities

Founder & Executive Support

  • Manage calendars, appointments, meetings, and reminders
  • Coordinate travel, logistics, and schedules
  • Handle calls, follow-ups, emails, and WhatsApp coordination
  • Prepare meeting notes, trackers, and summaries
  • Ensure timely follow-up on action items and commitments

Operations & Coordination

  • Coordinate with vendors, consultants, internal teams, and partners
  • Track tasks and ensure closure without constant supervision
  • Handle documentation, payments, renewals, and administrative tasks
  • Support hiring coordination and office operations
  • Organize files, reports, and operational workflows

On-Ground & Errand Support

  • Handle local coordination and errands when required
  • Visit vendors, offices, government departments, or client locations if needed
  • Assist with logistics, deliveries, and operational execution
  • Be available for occasional flexible scheduling requirements

Requirements

Must-Have Skills

  • Strong organizational and communication skills
  • Excellent follow-through and responsiveness
  • Ability to multitask and prioritize effectively
  • High level of integrity and confidentiality
  • Comfortable using Google Workspace, Excel, WhatsApp, and productivity tools
  • Problem-solving mindset with strong ownership

Mandatory Requirements

  • Valid driving license
  • Comfortable driving within Bangalore for coordination and operational tasks
  • Residing in or near Attibele / Sarjapura Bangalore preferred
  • Fluent in English and Kannada/Hindi preferred
