Job Description:
As a Stall Activation Coordinator at our BTL and offline advertising company, you will be responsible for managing and executing stall activations in apartment communities, tech parks, corporate offices, and supermarkets. Your primary role will be to liaise with management at these locations to secure permissions for stall setups and ensure smooth coordination during the event day. This role requires excellent communication, coordination, and organizational skills, as well as the ability to manage logistics for successful activations.
Key Responsibilities:
- Location Outreach and Permissions:
- Visit apartment communities, tech parks, corporate offices, and supermarkets.
- Engage with property managers, community heads, or relevant authorities to obtain permission for stall activations.
- Maintain a professional and persuasive communication style to secure prime stall locations.
- Client Coordination:
- Work closely with clients to understand their requirements, brand objectives, and event goals.
- Ensure that all client promotional materials and branding elements are ready for activation.
- Event Planning and Setup:
- Coordinate with vendors, transporters, and other necessary teams to set up stalls efficiently on event day.
- Supervise the on-ground team during setup, ensuring that all branding elements are installed properly.
- Handle any troubleshooting or last-minute adjustments to ensure a smooth activation.
- Day-of-Event Coordination:
- Oversee the activation process, ensuring that the stall operates according to the client’s expectations.
- Ensure brand representatives are briefed and that promotional materials are available.
- Act as the main point of contact during the event, managing queries and logistical needs.
- Post-Event Reporting:
- Document the activation by taking photos and creating a summary report for the client.
- Gather feedback from the venue and assess the effectiveness of the activation for continuous improvement.
- Relationship Building:
- Build strong relationships with apartment community managers, corporate facility managers, and supermarket supervisors to streamline future activations.
- Ensure that all permissions and paperwork are managed efficiently for repeat activations.
Skills Required:
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Prior experience in event coordination or BTL activations preferred.
- Ability to work under pressure and meet deadlines.
- Proficiency in managing client relationships and expectations.
This role involves extensive travel within the city to different locations, and a proactive, solutions-driven approach is key to success.
