Job Description:

What’s the role

            

You will coordinate and manage the movement of goods from supplier to freight forwarder after Goods Receipt is posted in the system. Ensure timely shipping, resolve logistics issues, and maintain clear communication with freight forwarder, suppliers, and vessel superintendents to support operational readiness and minimize delays.

What you’ll be doing

  • The Logistics Coordinator, after the Expeditor’s completion, liaises with the Superintendent and vessel to assess order urgency and issues appropriate freight instructions (Road, Sea, or Air) to the freight forwarder.
  • Confirms with the Freight forwarder that spares have been picked up from the vendor, dispatched to the destination as per the instructions at expected ETA.
  • Confirms that the parts have reached the destination and communicates with the agents and vessel for the last mile delivery.
  • Liaison with local agents and supports with customs, duties and Incoterms (DDP, DAP, etc).
  • Track and tally the incoming invoice against the GRd POs. And escalate it to the buyer to get the pending invoices.
  • Updates the Vessel master sheet with the last mile delivery, GR information and Invoice receipt.
  • Sharing the Vessel master sheet with Vessels on weekly basis and collating the responses in vessel response column. Superintendents can update directly their comments on SharePoint in superintendent response column. Rest sheet stays locked to be accessed only by Expeditor and Logistic coordinator.
  • After the PO has been raised to act as Single focal point for PO related queries of the vessel and superintendent– to interface with RTP / CP/ AP, Expeditor as required. In case of issues escalating as required to the team leads of the relevant department with Superintendent, vessel and common mail box in Copy.
  • To act as focal point for AP regarding GR queries for spares invoices - To monitor the GR status and support AP with any queries.
  • Monitor open invoice posting positions and support Finance team with the queries on the same.
  • Single focal point for inventory monitoring at STASCO DESIGNATED DEPOT – No Approval rights – Approval authority is with Fleet manager.
  • Planning and Allocation of SGPO (Spare Gear Petty Officer) to vessel (On STASCO superintendent and vessel request)
  • Manage the rota of SGPO
  • Mentor the SGPO team members
  • Reporting line for SGPO - Monitor and feedback Vessel Superintendent on the performance of the SGPO.
  • Plan SGPO to vessels for ABS – NS transition
  • Act as interface between the ABS-NS transition team and vessel.
  • Support to develop the data points to incorporate for adequate tracking of PO in ABS – NS based on learnings from PROP.

What you bring

  • At least 2 years of working experience in freight management
  • Strong knowledge of logistics and freight coordination
  • Experience with carrier communication and escalation
  • Familiarity with SAP and shipment tracking systems
  • Excellent organizational and stakeholder management skills
  • Prior experience of refit and spares management is an advantage
  • Strong communication skills, both written and orally, supported by leadership skills
  • Inclusive and collaborative mindset with ability to work in geographically diverse and multicultural environments.
  • Demonstrably strong analytical and problem-solving skills, with the ability to communicate situation and proposed solutions across different seniority levels.
  • Ability to deliver multiple simultaneous work streams
