Job Description

FTA Compliance Administrator

The Opportunity:

Avantor is looking for Free Trade Agreement (FTA) Compliance Administrator who supports the company’s FTA program by collecting documentation, validating data, communicating with suppliers, and maintaining records. This role ensures accurate qualification of products under various FTAs (such as USMCA, CAFTA‑DR, and other regional agreements) and assists with maintaining audit-ready compliance records. The FTA Compliance Administrator works closely with internal teams, external suppliers, and trade compliance leadership to support timely and accurate FTA operations across the Americas region.

Major Job Duties and Responsibilities

  • Collect, track, and organize supplier Certificates of Origin (COOs) and FTA declarations, ensuring completeness and accuracy.
  • Perform initial document reviews to verify key FTA data (origin, HS code, producer status, signature validity, etc.).
  • Support annual FTA solicitation campaigns, including preparing outreach lists, sending communications, tracking responses, and following up as needed.
  • Maintain and update FTA databases and document repositories to ensure all certifications and qualification records are current and audit-ready.
  • Enter and validate FTA-related data in internal systems (e.g., SAP, GTS, or other trade tools).
  • Assist in preparing qualification packets, summaries, and documentation for internal reviews or customer requests.
  • Review basic product information (Bill of Material structure, country of origin data, HS classification) to support FTA eligibility checks under guidance from senior staff.
  • Help identify missing, expired, or incomplete supplier documentation and coordinate resolution.
  • Support periodic internal audits and external audit requests by retrieving required records and preparing documentation sets.
  • Monitor upcoming FTA expiration dates and renewal cycles; notify appropriate teams to initiate requalification or resubmission of forms.
  • Assist with administrative tasks—including reporting, spreadsheet updates, filing, and data cleanup—related to FTA activities.
  • Provide general administrative support to the Trade Compliance team as needed.

Qualifications (Education, Training & Experience)

  • High School Diploma required, associate or bachelor’s degree in business, Supply Chain, International Trade, or related field preferred.
  • 1–3 years of experience in trade compliance, supply chain, logistics, or related administrative role preferred (not required).
  • Prior experience with FTAs or import/export documentation is a plus, but not mandatory.

Knowledge, Skills & Abilities

  • Strong attention to detail and accuracy when handling documentation and data.
  • Basic understanding of international trade concepts (HS codes, country of origin, COOs) preferred or willingness to learn.
  • Excellent organizational skills with the ability to manage large volumes of documents and multiple deadlines.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Strong communication skills for interacting with suppliers and internal teams.
  • Ability to follow structured processes and maintain compliance-focused discipline.
  • Experience with SAP, GTS, or similar systems is a plus.
