Job Description

  1. Roles & Responsibilities of a Back Office ExecutiveData Management

  • Maintain and update company records and databases.
  • Enter data accurately in Excel or company software.
  • Prepare reports and maintain documentation.
  1. Documentation & Filing

  • Manage office documents, invoices, quotations, and purchase orders.
  • Maintain proper filing systems (digital and physical).
  • Prepare official letters and documents.
  1. Email & Communication Support

  • Handle official emails and respond to customer or vendor queries.
  • Coordinate with different departments.
  • Forward important information to management.
  1. Order Processing

  • Prepare quotations and invoices.
  • Process purchase orders and sales orders.
  • Track order status and update records.
  1. Administrative Support

  • Assist management in daily office tasks.
  • Maintain office supplies and inventory records.
  • Schedule meetings and maintain calendars.
  1. Customer & Vendor Coordination

  • Communicate with clients regarding orders or documents.
  • Coordinate with suppliers for product dispatch or delivery.
  • Follow up on pending payments or orders.
  1. Report Preparation

  • Prepare daily, weekly, or monthly reports.
  • Maintain sales records and stock reports.
  • Support management with data analysis.
  1. Compliance & Record Keeping

  • Maintain records related to GST, invoices, and company documentation.
  • Ensure documents are organized for audits or inspections.
