Position :Soft Services Manager

Department :Facility Management

Reporting To : Property Manager

Job Summary

The Soft Services Manager is responsible for managing and supervising all soft service operations including housekeeping, landscaping, pest control, waste management, façade cleaning, and hygiene standards within the facility. The role ensures high-quality service delivery, vendor management, compliance with safety and hygiene standards, and maintaining a clean and pleasant environment for occupants and visitors.

Key Responsibilities

1. Housekeeping Management

  • Supervise daily housekeeping operations across all areas including common areas, washrooms, lobbies, parking areas, and external premises.
  • Ensure adherence to defined cleaning schedules and quality standards.
  • Monitor consumption of housekeeping materials and control inventory.

2. Vendor & Manpower Management

  • Manage housekeeping contractors and service vendors.
  • Ensure adequate manpower deployment as per site requirements.
  • Conduct periodic performance reviews of vendor staff and agencies.

3. Quality & Hygiene Standards

  • Implement and maintain hygiene standards across the facility.
  • Conduct regular inspections and audits of cleaning quality.
  • Ensure compliance with SOPs and service level agreements (SLAs).

4. Waste Management

  • Ensure proper segregation and disposal of waste as per environmental norms.
  • Coordinate with waste disposal agencies for timely removal.
  • Maintain records related to waste management compliance.

5. Pest Control & Landscaping

  • Coordinate periodic pest control treatments.
  • Ensure landscaping and horticulture areas are well maintained.
  • Monitor pest control vendors for effective treatment and reporting.

6. Client & Tenant Coordination

  • Address tenant complaints related to housekeeping and soft services.
  • Ensure prompt resolution of service requests.
  • Maintain good working relationships with tenants and client representatives.

7. Safety & Compliance

  • Ensure housekeeping staff follow safety guidelines and use PPE.
  • Ensure chemical handling and storage comply with safety standards.
  • Support EHS and statutory audits.

8. Documentation & Reporting

  • Maintain records of manpower deployment, attendance, and consumables.
  • Prepare daily, weekly, and monthly reports on service performance.
  • Maintain audit checklists, inspection reports, and compliance documentation.
