Job Description
Role OverviewWe are seeking a highly organized and patient-focused Front Desk Executive to serve as the first point of contact for patients. This role combines front office management, telecommunication handling, appointment coordination, and post-surgical patient follow-up, ensuring a seamless and professional patient experience.
- Key Responsibilities
1. Front Desk & Patient InteractionGreet and register patients in a professional and courteous manner
- Manage patient check-in and check-out workflows
- Maintain accurate patient records and documentation
- Coordinate with optometrists, doctors, and OT staff for smooth patient flow
2. Appointment & Scheduling ManagementSchedule, reschedule, and optimize appointments efficiently
- Minimize waiting time through structured slot management
- Track missed appointments and proactively reschedule
3. Telecalling & CommunicationHandle incoming and outgoing calls professionally
- Respond to patient queries regarding consultations, procedures, and follow-ups
- Maintain call logs and ensure timely responses
4. Missed Appointment TrackingIdentify no-shows daily and initiate follow-up calls
- Reschedule appointments and document reasons for missed visits
- Ensure continuity of care through proactive engagement
5. Surgical Patient CoordinationMaintain a database of surgical patients
- Conduct pre-operative reminders and instructions (fasting, medications, arrival time)
- Perform post-operative follow-ups:
- Check on patient recovery and compliance
- Reinforce medication and visit schedules
- Escalate concerns to clinical team when required
6. Administrative & Billing SupportAssist with billing, receipts, and basic financial transactions
- Maintain daily reports (appointments, calls, follow-ups)
- Ensure front desk area is organized and professional at all times
- Required Skills & QualificationsGraduate (preferred), healthcare background is a plus
- 1–3 years experience in clinic / hospital front desk or patient coordination
- Strong communication skills (English, Telugu and Hindi is must)
- Good telephone etiquette and interpersonal skills
- Basic computer proficiency (EMR, Excel, billing software)
