Job Description
Key Responsibilities
Material Receipt and Inwaqrd Management
- Receive all incoming material deliveries and verify quantity, specification, and quality against the Purchase Order before accepting
- Raise a Goods Receipt Note (GRN) for every delivery — no exceptions
- Reject any delivery that does not match the PO specification and escalate immediately
- Maintain organised, labelled, and zoned storage for every material category — steel, panels, insulation, hardware, electrical, plumbing, consumables
Material Issuance to Production
- Issue material to the production floor only against a properly completed and authorised Material Requisition Note (MRN) — no material leaves the store without one
- Record every issuance in the inventory tracker on the same day
- Process Material Return Notes (MSR) for any unused material coming back from the floor — count, verify, and restock correctly
Inventory Planning and the 48-Hour Rule
- Review the Production Plan daily and confirm material readiness for every unit's next production stage
- Flag any material shortfall to the Production Manager a minimum of 48 hours before the stage is scheduled to begin — never the day production needs it
- Maintain and propose minimum stock levels for all fast-moving materials
- Raise purchase requisitions proactively when stock approaches minimum level
Stock Accuracy and Reconciliation
- Conduct weekly cycle counts and a full physical stock count monthly
- Reconcile physical stock against the inventory tracker and investigate every variance with a documented root cause
- Maintain zero tolerance for unrecorded transactions — every item entering or leaving the store must have a paper trail
Vendor and Procurement Coordination
- Track supplier delivery performance — on-time, quality, and accuracy of every delivery
- Match supplier invoices against GRNs before forwarding for payment approval
- Flag any recurring vendor quality or delivery issues to management
Reporting
- Submit a weekly materials report every Friday: opening stock, receipts, issues, returns, closing stock, variances, and items below minimum level
- Participate in the weekly Monday production review meeting with a clear stock status report
- Maintain all documentation — GRN, MRN, MSR, vendor delivery logs — filed and available for audit at any time
What We Need From You
Experience and Background
- 2 to 6 years of experience managing store, inventory, or materials function — ideally in a manufacturing, fabrication, or construction materials environment
- Experience working with Purchase Orders, GRNs, and material issuance documentation in any structured organisation
Skills
- Strong proficiency in Excel or Google Sheets — you will be tracking stock, raising reports, and maintaining records daily
- Basic understanding of construction or fabrication materials is a strong advantage — steel sections, insulation types, MEP components
- Highly organised — physically and on paper. A messy store reflects a messy tracker, and we cannot afford either
- Comfortable saying no — to a worker asking for material without an MRN, to a supplier delivering the wrong item, to anyone trying to bypass the process
Personal Qualities
- Process-driven — you follow the system even when it would be faster not to
- Proactive — you raise a problem 48 hours before it becomes a crisis, not after
- Trustworthy — you are accountable for materials worth lakhs of rupees moving through your hands every month
- Calm under pressure — production will sometimes push you to skip a step. You hold the line.
