E-commerce Order Fulfilment And Dispatch Executive

Key Responsibilities:

1. Order Processing & Packing

• Pick correct coffee based on order (origin, roast, SKU)
• Grind coffee as per customer requirement (if applicable)
• Pack, seal, and label orders accurately
• Double-check:
• Coffee name
• Roast date
• Grind size
• Quantity
• Ensure no mix-ups between similar SKUs (critical)

Common Sense Expectations

• Never assume—always recheck before sealing
• If confused, ask before dispatching (wrong orders are costlier than delays)
• Keep packing area clean and organized at all times

2. Dispatch & LogisticsPrepare shipments for:

• Online orders
• B2B clients
• Café stock transfers (coffee)
• Coordinate daily pickups with courier partners
• Ensure all orders are dispatched within defined timelines
• Maintain tracking details and update status

Common Sense Expectations

• No order should sit packed but undispatched
• Escalate immediately if pickup is delayed
• Ensure shipping labels are correctly placed and readable

3. Roastery CoordinationAlign with roasting team for fresh batches

• Ensure FIFO (First In First Out) for roasted coffee
• Flag low stock or fast-moving SKUs in advance

Common Sense Expectations

• Don’t wait for stock to finish—inform early
• Always prioritize fresher batches unless instructed otherwise

4. Logistics Management

• Coordinate daily with courier/logistics partners
• Handle pickup scheduling, delays, and escalations
• Track delivery issues (delays, damages, lost shipments)
• Maintain basic performance understanding of each courier

• Follow up proactively—don’t wait for problems to escalate
• Keep communication clear and documented

5. Documentation & Reporting

• Maintain:
• Daily dispatch sheet
• Order tracking log
• Share end-of-day summary:
• Orders received
• Orders dispatched
• Pending issues
