Job Title: Executive Assistant (EA) to Managing Director
Company: Across Engitech Pvt. Ltd.
Department: Management / Administration
Reporting To: Managing Director (MD)
Job Summary
We are looking for an organized and proactive Executive Assistant (EA) to support the Managing Director in daily operations, meeting coordination, reporting, follow-ups, and business activities. The role includes managing schedules, preparing MIS reports, coordinating with departments and clients, tracking tasks, handling official communication, and ensuring smooth execution of management priorities.
Key Responsibilities
1. REPORTING & MIS MANAGEMENT
• Collect daily reports from departments
• Prepare management MIS reports and ERP Dashboards
• Maintain project / sales / collection status updates
• Prepare presentation & summary reports for MD
• Maintain confidential documents
• Weekly review with dashboards of all department
• Assist departments in data compilation and reporting
• Prepare review meeting data and reports.
• Track action points from review meetings.
2. FOLLOW-UP - INTERNAL & EXTERNAL COORDINATION
• Follow-up with departments on pending tasks
• Track project updates & management action points
• Maintain daily task tracker
• Escalate delays or pending issues to MD
• Maintain communication between management & departments
• Ensure proper information flow within organization
• Handle official emails & communications
• Organize files, records & approvals
3. BUSINESS SUPPORT ACTIVITIES
• Maintain ERP working applicable in all departments
• Support documentation, policies and SOP records.
• Coordinate with clients, vendors & internal teams Handle important client communication
• Coordinate meetings & follow-up discussions with customers
• Maintain professional communication on behalf of management to customers
4. MD Schedule, Meeting, Client & Management Coordination
• Manage MD’s calendar & appointments
• Schedule internal & external meetings
• Coordinate client meetings & follow-ups
• Maintain meeting records & MOM (Minutes of Meeting)
• Ensure proper meeting scheduling discipline
5. STRATEGIC PLANNING & EXECUTION –
• Support MD in annual and quarterly business planning.
• Track strategic goals and management initiatives.
• Monitor KPI/KRA performance of departments.
• Identify process improvement opportunities.
• Conduct competitor and market research.
