Job Description: Internal Communications Coordinator / Associate
Responsibilities
NEWSLETTER SUPPORT
- Newsletter publication : Assists with drafting and publishing sub–service line newsletters by gathering content from stakeholders, organizing images, preparing Word documents and SharePoint pages, and supporting review processes.
- Newsletter content process : Supports the execution of internal newsletters by assisting with content collection, sending reminders, coordinating reviews, and helping distribute communications to leadership and target audiences.
- AI enabled newsletter copyediting : Uses AI enabled tools (e.g., Microsoft Copilot) under guidance to support content drafting, editing, summarizing and basic data analysis
EMAIL CHANNEL SUPPORT
- Mailing list maintenance : Helps maintain static and dynamic distribution lists in OneAccess by making updates, notifying list owners, and escalating list-related issues as needed.
- Mailbox maintenance : Supports the setup and monitoring of shared mailboxes for area offices, office hubs, and key initiatives; helps track and respond to incoming messages.
OTHER INTERNAL COMMUNICATIONS SUPPORT
- Webcast coordination : Assists with scheduling webcasts and pre wire sessions by coordinating calendars, tracking logistics, and supporting leadership communications.
- Survey execution and analysis : Supports survey creation and data management by organizing responses, performing basic data analysis, and updating presentation materials.
- Event support : Provides logistical and administrative support for culture and engagement events, including sending invitations, maintaining participant lists, and issuing reminder communications.
- Metrics analysis : Tracks basic metrics such as webcast attendance, newsletter readership, and training participation; helps compile reports and share updates with stakeholders.
Knowledge and Skill Requirements
- Foundational understanding of internal communications or learning operations, with interest in developing skills in a professional services environment.
- Strong written and verbal communication skills, with the ability to follow templates and guidance to tailor messages for different audiences.
- Good organizational skills and attention to detail, with the ability to manage tasks and deadlines with support from the team.
- Ability to work collaboratively with teammates and stakeholders, and to take directions from more senior team members.
- Proactive, dependable, and eager to learn, with a solution-oriented mindset.
- Basic familiarity with AI enabled tools (e.g., Microsoft Copilot) and how they can support everyday internal communications and learning tasks.
Other Requirements and notes
- Ability to work U.S. business hours (8 am ET – 4pm ET) to support time sensitive communications, webcasts, and learning events.
- Willing to collaborate with and support global teams across geographies.
- This role is a 7 month fixed term maternity leave backfill, with potential for extension based on business needs.
Education and Experience
- Bachelor’s degree in Business, Communications, HR, or a related discipline preferred.
- Entry level or early career experience (including internships) in communications, learning operations, HR, or a corporate/professional services environment.
