Job Title: Office Assistant
Department: Administration / Operations
Reports To: Office Manager
Job Summary
Office Assistant will be responsible for supporting day-to-day office operations, handling document movement, assisting with administrative tasks, maintaining records, and updating information using basic computer applications. The role requires a responsible, organized, and proactive individual capable of managing office errands and coordinating online order-related activities.
Key Responsibilities
1. Office Support
- Deliver and collect documents, files, and correspondence within and outside the office as required.
- Assist in filing, photocopying, scanning, printing, and maintaining office records.
- Support administrative staff with routine office tasks.
2. Computer & Data Management
- Update and maintain records in Excel, Word, or company software.
- Enter data accurately and maintain digital files.
- Prepare basic reports and update information as instructed.
- Handle email communication related to assigned tasks.
3. E-Commerce & Order Management
- Manage and monitor Amazon and other online marketplace orders.
- Track order status, deliveries, returns, and customer communications.
- Coordinate with suppliers and logistics partners regarding dispatches and deliveries.
- Maintain records of online sales and inventory updates.
4. Inventory & Material Management
- Maintain records of office supplies, materials, and inventory.
- Assist in receiving, checking, and dispatching materials.
- Coordinate with vendors for deliveries and collections.
5. Outdoor Official Work
- Visit banks, courier offices, government offices, vendors, and clients as directed.
- Handle document submissions, collections, and other official errands.
6. Coordination & Communication
- Coordinate with internal teams and vendors for operational requirements.
- Answer basic phone inquiries and relay messages when required.
- Assist visitors and guide them to the concerned personnel.
7. General Responsibilities
- Ensure timely completion of assigned tasks.
- Maintain confidentiality of company information and records.
- Follow company policies and operational procedures.
- Perform any other duties assigned by management.
Required Skills & Qualifications
- Minimum Higher Secondary (12th Pass) preferred.
- Basic computer knowledge including:
- Microsoft Excel
- Microsoft Word
- Email Handling
- Internet Browsing
- Online Order Management
- Ability to maintain records and prepare simple reports.
- Good communication and organizational skills.
- Honest, punctual, and reliable.
Experience
- 1–3 years of experience in office assistance, administration, or e-commerce support preferred.
- Experience handling Amazon Seller Account operations will be an added advantage.
Working Conditions
- Full-time position.
- Requires both office-based work and occasional local travel for official duties.
Salary: 10k – 12K
