Job Description
Role Summary:
The Office Accounts Assistant will support the accounts and operations teams in day-to-day accounting, billing, documentation, and payment follow-up activities. The role involves basic accounting entries, invoice checking, document filing, preparation of reimbursement and contract billing statements, and assisting the accountant with basic queries required for finalisation of accounts.
Key Responsibilities
- Enter basic purchase and sales transactions in Tally ERP.
- Maintain and file important documents, bills, contracts, and supporting records.
- Prepare expense reimbursement statements and bills for variable costs related to warehousing and 4PL operations.
- Prepare and submit monthly contract bills and reimbursement bills to clients.
- Follow up with clients for pending payments and maintain outstanding statements.
- Support warehousing operations by checking invoices before dispatch.
- Verify CHA, Freight Forwarder, Transporter, and Courier bills against agreed rates or approved quotations.
- Coordinate with internal teams for billing details, supporting documents, and clarifications.
- Assist the accountant in responding to basic accounting queries and checking supporting information.
- Help with basic query checking during finalisation of books of accounts; finalisation will be handled by the accountant.
Required Skills
- Basic knowledge of accounting and billing processes.
- Working knowledge of Tally ERP.
- Good understanding of purchase, sales, expense, and reimbursement entries.
- Ability to check invoices, rates, quotations, and supporting documents accurately.
- Basic knowledge of MS Excel for statements and follow-up records.
- Good filing, documentation, and record-keeping skills.
- Attention to detail and ability to coordinate with clients, vendors, and internal teams.
Qualification
- B.Com or equivalent commerce/accounting background preferred.
- Prior experience in logistics, warehousing, transport, freight forwarding, or 4PL operations will be an added advantage.
Reporting
- The Office Accounts Assistant will report to the Accountant / Management and coordinate with the operations team as required.
