Job Description
bout the RoleWe are looking for a highly organized and responsible Back Office Manager to manage the day-to-day administrative and operational activities of the company. The ideal candidate should be detail-oriented, proactive, disciplined, and capable of handling coordination between clients, internal teams, vendors, and management.
This role is critical in ensuring smooth business operations, proper documentation, timely follow-ups, and strong internal systems within the company.
- Key ResponsibilitiesManage daily back-office operations and administrative activities
- Coordinate with internal teams for project updates and task tracking
- Handle client documentation, quotations, invoices, agreements, and reports
- Maintain organized records, databases, and company files
- Track payments, pending invoices, and follow-ups with clients
- Assist management in operational planning and execution
- Coordinate with vendors, freelancers, and external partners
- Ensure timely communication and smooth workflow across departments
- Manage office processes, schedules, and operational systems
- Support HR activities such as attendance, onboarding coordination, and staff documentation
- Prepare MIS reports and operational summaries for management
- Maintain confidentiality and professionalism in all company matters
- Skills RequiredStrong communication and coordination skills
- Excellent organizational and multitasking abilities
- Good knowledge of MS Excel, Google Sheets, and documentation tools
- Ability to work under pressure and meet deadlines
- Strong follow-up and problem-solving mindset
- Attention to detail and process-oriented thinking
- Professional attitude and accountability
- Preferred QualificationsBachelor’s degree in Business Administration, Management, Commerce, or related field
- Prior experience in agency, media, marketing, or service-based companies preferred
- Familiarity with CRM tools, invoicing systems, and project management software is a plus
