Job Description
We are looking for a reliable and proactive Office Administrator who can manage day-to-day administrative and coordination activities required for smooth office and factory operations. The role involves handling miscellaneous operational tasks, vendor coordination, office upkeep, basic documentation, and supporting management in administrative work.
This position is ideal for someone who is organized, responsible, resourceful, and comfortable handling multiple activities independently.
- Key Responsibilities
- Manage daily office administration and support operational requirements
- Coordinate with electricians, plumbers, internet providers, housekeeping staff, and other service vendors whenever required
- Arrange and supervise cleaning and maintenance activities for office/factory premises
- Ensure proper upkeep, cleanliness, and functionality of the workplace
- Coordinate with local authorities and government offices such as BMC, electricity department, courier offices, etc.
- Handle document submissions, collections, and follow-ups for licenses, approvals, and miscellaneous work
- Maintain relationships with local vendors and service providers
- Assist in creating Purchase Orders (POs) and maintaining purchase-related records
- Coordinate with suppliers for quotations, delivery follow-ups, and documentation
- Maintain files, bills, invoices, and office records systematically
- Assist management with miscellaneous operational and coordination tasks
- Arrange office supplies, pantry items, stationery, and other requirements
- Support basic inventory tracking for admin consumables
- Coordinate courier dispatches and incoming deliveries
- Handle phone calls and coordinate with internal teams and external parties
- Required Skills & Qualifications
- Graduate or Diploma preferred (any stream)
- 1–4 years of experience in administration or office coordination roles
- Good communication and coordination skills
- Basic knowledge of MS Excel, Word, and email communication
- Ability to handle multiple tasks and follow up independently
- Comfortable with field work and local travel for office-related tasks
- Responsible, organized, and solution-oriented attitude
- Preferred Candidate Profile
- Prior experience in factory, warehouse, or small business administration preferred
- Familiarity with vendor management and local office coordination
- Candidate should be practical, proactive, and willing to handle diverse responsibilities
- May require occasional local travel for administrative work and coordination
