Order Management Specialist – MTO

We are looking for a detail-oriented and proactive MTO Order Processing Specialist to manage the end-to-end processing of Make-to-Order (MTO) requests. The ideal candidate will act as the key link between customers, the sales team, and the production/warehouse department — ensuring every custom order is fulfilled accurately and on time.

📌 Order Receiving & Entry

• Receive and review MTO requests from customers or the sales team

• Accurately enter order details into the ERP/order management system

• Verify order specifications, quantities, pricing, and delivery timelines

• Confirm order acknowledgement and send confirmations to relevant parties

📌 Order Tracking & Coordination

• Monitor order status from confirmation through to dispatch

• Coordinate with production, warehouse, and logistics teams for timely fulfillment

• Follow up on pending or delayed orders and escalate when necessary

• Maintain a live order tracker updated in real time

📌 Customer & Sales Team Communication

• Communicate order updates, delays, and confirmations to customers or sales

• Handle order modifications, cancellations, and special requests professionally

• Respond to order-related queries in a timely and professional manner

📌 Documentation & Reporting

• Maintain accurate and up-to-date records of all MTO orders

• Generate daily/weekly order status and fulfillment reports for management

• Ensure all documentation (invoices, delivery notes, purchase orders) is complete and filed

📌 Quality & Compliance

• Verify that orders meet customer specifications before dispatch

• Ensure all processing activities comply with company SOPs and policies

• Flag non-conforming orders to the relevant department immediately

📌 Issue Resolution

• Identify and resolve order discrepancies, mismatches, or shortages

• Coordinate with the logistics team to address delivery issues

• Proactively communicate resolutions to all stakeholders
