Job Description
The primary Job responsibilities of the Office Assistant, Army CHS Ltd. Nerul include but not limited to the following:
· Supporting the Personnel&Administration manager in all his/her responsibilities regarding administration of all Society office Activities, Society Staff, maintenance of files/ records of all DUs/ other activities.
· Handling of all correspondence received in the society office from any source by letter (hard copy)/hand delivery/speed post/Registered Post/courier / e-mail etc, inwarding, circulation to the Office Bearers/concerned MC Members, their follow-up, filing and similarly, despatch of all correspondence from the society office by any mode after proper out -warding, sending replies by e-mail/any other mode and their filing in respective subject files.
· Help in organizing Society Functions like Republic Day, Independence Day, Christmas, Lohri, Tombola, Holi, cultural events, musical nights, Festivals, New Year, Diwali, Pujas, Prayer Meetings, Training sessions, Lectures, sporting events, Live Telecasts etc.
· Preparing Society Notices, uploading same in the society’s apps and displaying them on the Notice Boards after signature/stamping.
· Maintaining record of society’s parking slots, details of allotment of vehicle Stickers issued to the residents
· Complaints management and their resolution - other than major repairs & maintenance
· Maintaining all staff and Office Policy files, their documentation and filing
· Arrangement for MC meetings and maintenance of all related files, registers, logs, Minutes etc. Including for AGM and SGM.
· Bookings of Cafeteria, Zumba Hall, Open spaces, Lawns, Kitchen, Gymnasium, Badminton/TT, Collection details and their regular follow up
· Issue of passes for Maids, Drivers, Domestic helps, Dog walkers, delivery Personnel, Sahayaks and other similar workers/visitors to the society, Shifting of House Hold items in/out by Tenants
· Updating the list of tenants and maintenance of rental documents like NOC, Registered Agreement, Police Verification , shifting in and out of premises permissions etc.
· Requisition and inventory management of Stationery, Provisions etc.
· Assisting the Secretary and other MC Members in preparation/typing/printing of letters, replies, notices, documents etc.
· Overseeing outsourced Housekeeping services , daily attendance and issue handling. Periodical Fumigation, Rodent Services in the society.
