Job Description
Backstage Dynamics Private Limited
Head of Project Delivery
Complex engineering only matters when it arrives, works and earns the client’s trust. We build original technology for stages, ships and spectacles around the world. As Head of Project Delivery, you will create the structure that turns ambitious ideas, multidisciplinary engineering and demanding timelines into predictable, profitable and successful project outcomes.
About Backstage Dynamics
Backstage Dynamics is an entertainment engineering company operating at the intersection of precision engineering and live performance. We design and deliver original technology, technical systems and immersive experiences for some of the world’s most ambitious live entertainment productions.
Our work spans robotics, automation, stage machinery, kinetic systems, performer-interaction equipment, scenic engineering and custom special effects. These systems are deployed in theatres, cruise ships and large-scale entertainment venues across the world, often in environments where there is no existing product, precedent or standard solution to follow.
Every project moves through multiple disciplines: creative development, mechanical engineering, electrical engineering, controls, fabrication, testing, logistics, installation and commissioning. The technical challenge is substantial, but the greater challenge is making all those disciplines move together toward one committed outcome.
Role Mission
Turn ambitious engineering into predictable delivery.
Plan Align De-risk Deliver
The Head of Project Delivery owns the complete execution environment through which Backstage Dynamics projects are delivered.
You will take responsibility from formal project handover through engineering, procurement, manufacturing, integration, testing, logistics, site installation, commissioning and final client acceptance. Your role is to ensure that every function understands what must happen, by when, in what sequence and to what standard.
You are not expected to personally make every technical decision. Product Development owns the creative and functional concept. Engineering leaders own technical integrity and discipline-specific approval. Your responsibility is to integrate those decisions into a credible delivery plan and ensure that the organisation fulfils its commitments.
You will be the single source of truth for project status, delivery risk, resource pressure, budget health and client commitments.
This is not a role for someone who manages projects by requesting updates. You will actively establish the structure, challenge unrealistic assumptions, resolve dependencies, drive decisions and intervene before small problems become site-level crises.
When a project succeeds, every department contributes. When the project begins to drift, you are the person expected to see it first and bring it back under control.
Key Responsibilities
This role spans the complete project-delivery lifecycle. You will work across Product Development, Engineering, Controls, Electrical, Procurement, Manufacturing, Quality, Logistics and Site Operations.
Your responsibility is not to perform every function. It is to ensure that the functions operate as one delivery system.
Project Planning & Governance
Convert every awarded project into a clear and executable delivery plan. Establish scope, milestones, workstreams, dependencies, decision dates, design freezes, procurement deadlines, manufacturing gates, testing plans and site requirements.
Maintain one integrated master schedule against which the entire project is managed.
Cross-Functional Delivery Leadership
Lead the coordination between Product Development, discipline heads, project managers, engineers, purchasing, fabrication teams, external suppliers and site personnel.
Ensure that decisions are documented, ownership is unambiguous and every department understands how its work affects downstream delivery.
Schedule, Resource & Dependency Control
Monitor the critical path, engineering release dates, procurement lead times, production capacity and site-readiness dependencies.
Identify conflicts across concurrent projects, recommend resource priorities and ensure recovery plans are created before delays become irreversible.
Commercial & Change Control
Own project-budget visibility alongside Finance and company leadership. Track committed cost, forecast cost to completion, contingency consumption and margin movement.
Ensure that changes in scope, specification, schedule or client requirements are formally assessed, costed, approved and reflected in the delivery plan.
Risk, Quality & Client Communication
Maintain an active project-risk register covering technical, commercial, supplier, schedule, integration and site risks.
Create a disciplined communication rhythm with internal leadership and clients. Escalate issues early, present recovery options clearly and ensure there are no avoidable surprises.
Manufacturing, Installation & Handover
Ensure projects enter manufacturing with approved drawings, released BOMs, identified suppliers, quality requirements and realistic build sequences.
Lead readiness reviews for FAT, packing, shipping, installation and commissioning. Ensure that final documentation, training, punch-list closure and client acceptance are completed rather than allowed to remain indefinitely open.
What You’ll Actually Deliver
No two projects at Backstage Dynamics are identical. Some begin as an artistic ambition with no known technical solution. Others involve adapting proven systems for a new ship, venue or operating environment.
Your job is to give each project a controlled path from commitment to completion.
Bespoke Product Delivery
Lead the delivery of original engineered products involving robotics, mechanisms, automation, scenic elements, performer interaction and safety-critical systems.
Manage the uncertainty inherent in first-of-their-kind development without allowing uncertainty to become unmanaged execution.
Multi-Project Portfolio Leadership
Maintain visibility across multiple concurrent projects with competing engineering, workshop and commissioning requirements.
Identify capacity conflicts early and provide leadership with credible options rather than discovering resource shortages after milestones have already been missed.
International Installation & Commissioning
Plan and lead the transition from workshop completion to international site execution.
Coordinate documentation, logistics, manpower, tools, spares, site access, client dependencies, testing and handover so that the site team arrives prepared to complete—not discover—the project.
Delivery-System Development
Build the processes through which Backstage Dynamics scales.
Establish repeatable templates, review gates, dashboards, escalation structures, reporting standards, handover processes and lessons-learned systems that improve predictability without creating unnecessary bureaucracy.
