Job Description:

As an Executive Assistant at IVillage, you will provide comprehensive administrative,

operational, and strategic support to the CEO and leadership team, enabling smooth day-to-day

operations and effective decision-making. You will act as a key point of coordination across

departments and external stakeholders, ensuring timely communication and execution of

priorities.


Your key responsibilities will include:

1. Calendar & Schedule Management: Organize and maintain the CEO’s calendar,

schedule meetings, appointments, and travel plans, ensuring optimal use of time.

2. Communication Management: Handle, prioritize, and draft emails, letters, and other

correspondence on behalf of the CEO. Ensure timely responses and clear communication

across stakeholders.

3. Meeting Coordination: Prepare agendas, compile relevant materials, and take detailed

minutes during meetings. Follow up on action items to ensure timely completion.

4. Documentation & Reporting: Maintain accurate and accessible records, prepare

presentations, and compile reports for internal and external use.

5. Research & Information Gathering: Conduct market research, competitor analysis, and

data gathering to support decision-making and special projects.

6. Stakeholder Liaison: Coordinate with internal teams, clients, vendors, and partners to

facilitate smooth communication and relationship management.

7. Travel & Event Management: Plan and coordinate travel itineraries, event participation,

and logistics for meetings, conferences, and exhibitions.

8. Project Assistance: Support the CEO in managing special projects, tracking progress, and

ensuring deadlines are met.

9. Sales & Revenue Contribution: Work closely with the CEO to achieve sales targets,

actively contribute to closing sales, and lead the team towards meeting revenue goals to

drive company growth.

10. Target Achievement Support: Assist in achieving company targets through training,

implementation of actions decided by the CEO, and active involvement in executing

growth strategies.

11. Confidentiality & Discretion: Handle sensitive information with the highest level of

integrity and maintain strict confidentiality.

12. Process Improvement: Identify opportunities to streamline administrative processes and

improve overall efficiency in the CEO’s office.

13. Follow-Up & Accountability: Track deliverables assigned to various team members and

departments, ensuring timely updates to the CEO.

14. Upskilling & Growth: Stay updated on best practices in executive assistance,

administration, and organizational productivity tools.
