Job Opportunity: Executive Assistant to the Managing Director (Real Estate)
Are you an organized, detail-oriented professional who thrives in a fast-paced environment? We are looking for a highly efficient Executive Assistant to act as the right hand to our Managing Director.
In the world of real estate, time is our most valuable asset. We need someone who can master the MD's daily operations, manage high-stakes communication, and ensure the office runs like a well-oiled machine. This is not a standard desk job; it is a vital support role that allows our business to scale.
Key Responsibilities: Executive Support & Routine Management
- Calendar Mastery: Manage the MD’s daily schedule, including prioritizing high-stakes meetings, site visits, and conference calls.
- Gatekeeping: Act as the primary point of contact for external stakeholders, HNI clients, and internal department heads.
- Correspondence: Manage professional email and communication, drafting responses and ensuring all important queries are addressed promptly.
Real Estate Operations
- Documentation Oversight: Maintain records for ongoing projects, track client agreements, and coordinate with the legal/documentation team.
- Client Coordination: Assist in scheduling and facilitating high-profile client meetings and site visits.
- Follow-up Systems: Ensure that commitments made during meetings are tracked and executed by the relevant departments.
Office Administration
- Operational Flow: Oversee day-to-day office administration to ensure a professional environment.
- Meeting Preparation: Prepare agendas, briefs, and presentation materials for board meetings and investor reviews.
- Vendor/Resource Management: Coordinate with office vendors and manage administrative expenses.
- Who You AreProfessional & Discreet: You handle sensitive company and client information with total confidentiality.
- Proactive Problem Solver: You don’t just report problems; you bring solutions before the MD even asks.
- Exceptional Communicator: You possess excellent verbal and written communication skills, capable of representing the MD professionally to clients.
- Tech-Savvy: Proficient in MS Office/Google Workspace, CRM tools, and digital scheduling platforms.
