Job Description

Executive Assistant to CEO – Role Tasks

  • CEO Office Management Manage CEO’s calendar, meetings, emails, and daily priorities
  • Plan and organize day-to-day schedule for maximum productivity
  • Ensure no important task, deadline, or follow-up is missed
  • Draft and reply to professional emails and communications
  • Communication and Follow-Ups Handle communication with clients, vendors, and internal teams on behalf of CEO
  • Do regular follow-ups to ensure tasks are completed on time
  • Maintain strong response discipline and relationship management
  • Track commitments and ensure proper closure
  • Business Coordination and Execution Coordinate with Procurement, Production, Projects, and Accounts teams
  • Track ongoing work, tasks, and deliverables across departments
  • Ensure execution is aligned with CEO’s direction and timelines
  • Highlight delays or issues proactively
  • MIS, Reporting, and Planning Prepare daily, weekly, and monthly MIS reports and dashboards
  • Maintain trackers for tasks, projects, and performance
  • Provide clear updates and insights to CEO
  • Support in planning, goal setting, and execution tracking
  • LinkedIn and Personal Branding Support Draft and manage LinkedIn posts and professional content
  • Coordinate for CEO’s personal branding activities
  • Ensure consistent and high-quality communication online
  • Support in content ideas and engagement tracking
  • Strategic Support and Business Growth Assist CEO in new initiatives, ideas, and expansion plans
  • Conduct basic research, data collection, and analysis
  • Support decision-making with structured inputs
  • Help in execution of strategic priorities
  • Documentation and Process Management Maintain proper records of agreements, contracts, and key documents
  • Prepare meeting notes and action trackers
  • Ensure structured filing and easy access to information
  • Improve systems for better organization and control
  • Task Tracking and Execution Control Maintain a master tracker of all CEO-level tasks and priorities
  • Ensure timely completion of assigned actions across teams
  • Follow up till closure with clear accountability
  • Drive discipline in execution across the organization
  • Confidentiality and Professional Support Handle sensitive business information with high confidentiality
  • Act as a trusted support system to the CEO
  • Maintain professionalism in all internal and external interactions
  • Take ownership of tasks with high reliability
