Cost Analyst – Facilities

Role Location:          Pune

The Role

The role of the Facilities Cost Analyst is to monitor, analyse, and optimise facility‑related financials across Apex’s global office footprint. The successful candidate will provide transparency on facilities expenditure, support budgeting cycles, partner with regional facilities and finance teams, and ensure accurate cost allocation and reporting.

This role requires strong financial acumen, analytical capability, and excellent stakeholder management. The Facilities Cost Analyst will report into the Head IT Business Management Office.

Facilities Finance & Administration

  • Provides analytical, forecasting, reporting, and financial support to senior management.
  • Supports the development of annual facilities budgets, including rent, utilities, maintenance, security, cleaning, and related operational costs.
  • Monitors and reconciles actual spend vs. budget at both local and global levels.
  • Ensures proper cost allocation across business units and validates the accuracy of invoices and accruals.
  • Partners with regional Facilities Managers to consolidate facility‑related financial data.
  • Maintains understanding of Apex’s global office portfolio and related cost structures.

Facilities Controls and Financial Reporting

  • Supports forecasting processes and identifies opportunities for cost optimisation.
  • Develops financial models to support decisions such as office openings, refurbishments, moves, and consolidation initiatives.
  • Performs regular quality checks on facilities financial data and ensures alignment with procurement and finance policies.
  • Creates cost efficiency analyses and benchmarking across offices and regions.
  • Generates reports, graphs, and presentations for different stakeholder groups.

Facilities Portfolio Support

  • Works closely with facilities teams to ensure timely updates to facilities documentation, trackers, and budgets.
  • Supports creation and maintenance of contract and vendor cost registers.
  • Assists with the evaluation of vendor quotations, tenders, and RFPs from a financial perspective.
  • Ensures completeness and accuracy of facilities cost data across systems and databases.

Experience and Knowledge

  • Bachelor’s degree in Finance, Accounting, Economics, Business, Facilities Management, or a related field.
  • 3+ years of relevant experience in financial analysis, cost control, facilities support, or corporate services.
  • Strong knowledge of budgeting, forecasting, and financial reporting.
  • High communication skills at all levels; must be able to interact with senior leadership.
  • Excellent command of written and spoken English.
  • Strong problem‑solving skills and the ability to work in a fast‑paced, multicultural, global environment.
  • Advanced proficiency in MS Excel and MS Office; experience with financial systems is an advantage.
