Import Export Manager

Job Summary

We are looking for a detail-oriented and experienced Import Export Executive to manage our company’s international shipments. In this role, you will oversee the end-to-end import and export processes, ensure strict compliance with customs regulations, and coordinate with shipping lines, freight forwarders, and internal teams to guarantee timely and cost-effective delivery of goods.

Key Responsibilities

Documentation & Compliance:

• Prepare, review, and process all import and export shipping documents, including Commercial Invoices, Packing Lists, Bills of Lading (B/L), Air Waybills (AWB), and Certificates of Origin.
• Ensure full compliance with international trade laws, customs regulations, and local government policies (e.g., DGFT guidelines, tariff codes).
• Process and manage bank documentation, including Letters of Credit (LC), Bank Guarantees, and foreign remittance paperwork.

Logistics & Coordination:

• Coordinate with freight forwarders, Customs House Agents (CHAs), and transport companies to secure the best freight rates and ensure smooth cargo movement.
• Track inbound and outbound shipments daily and provide proactive status updates to internal teams (Sales, Procurement, and Warehouse).
• Resolve any shipment delays, customs holds, or transit issues promptly to avoid demurrage and detention charges.

Vendor & Stakeholder Management:

• Negotiate shipping rates and terms with logistics partners to optimize freight costs.
• Liaise with international suppliers and buyers to align on shipment schedules and documentation requirements.
• Collaborate with the Finance department to ensure timely clearance of vendor payments and customs duties.

Reporting & Record Keeping:

• Maintain accurate physical and digital logs of all import/export transactions.
• Generate weekly and monthly MIS reports on freight costs, transit times, and vendor performance.

Qualifications & Requirements

Education: Bachelor’s degree in Supply Chain Management, International Business, Logistics, or a related field. (A diploma in Import/Export Management is a strong plus).

Experience: 2–5 years of proven experience in import/export operations, customs clearance, or international logistics.

Technical Knowledge:

• Strong understanding of INCOTERMS 2020.
• Familiarity with HSN classification, customs tariffs, and export incentive schemes.
• Experience handling Letters of Credit (LC) and banking procedures.

Software Skills: Proficiency in MS Office (especially Excel) and experience working with ERP systems (e.g., SAP, Oracle).

Soft Skills: Excellent written and verbal communication skills, strong negotiation abilities, and high attention to detail.
