JOB DESCRIPTION – STORE INCHARGE

Job Summary

We are looking for a responsible and experienced Store In-charge to manage the complete store operations at our edible oil packaging factory. The candidate will be responsible for handling inward and outward movement of materials, maintaining accurate inventory records, ensuring proper storage of raw materials and packing materials, and coordinating with production, purchase, dispatch, and accounts departments.

The role requires strong attention to detail, proper documentation, and the ability to maintain smooth material flow for daily production and dispatch activities.


Key Responsibilities

1. Inventory Management

  • Maintain proper stock records of raw materials, packing materials, finished goods, consumables, and spare parts.
  • Monitor stock levels and inform the purchase/production team in advance for replenishment.
  • Ensure physical stock matches system/book stock.
  • Conduct regular stock verification and report any shortages, damages, or excess stock.
  • Maintain minimum and maximum stock levels for critical materials.


2. Inward Material Handling

  • Receive all incoming materials such as edible oil, bottles, caps, labels, cartons, pouches, jars, chemicals, consumables, and machine spares.
  • Check received materials against purchase orders, delivery challans, invoices, and GRN requirements.
  • Coordinate with the quality team for inspection and approval before material acceptance.
  • Ensure rejected or damaged materials are properly identified, segregated, and reported.
  • Maintain proper inward entries and supporting documents.


3. Outward Material Handling

  • Issue raw materials and packing materials to production as per requirement and approved requisition.
  • Ensure FIFO / FEFO method is followed wherever applicable.
  • Maintain proper material issue records and obtain required approvals.
  • Handle returnable and non-returnable material movement.
  • Coordinate finished goods movement from production to finished goods store and dispatch area.


4. Finished Goods & Dispatch Coordination

  • Maintain finished goods stock batch-wise and SKU-wise.
  • Coordinate with dispatch team for loading and movement of finished goods.
  • Ensure proper documentation for dispatches, including invoice, delivery challan, e-way bill, transporter details, and LR copies where applicable.
  • Check that goods are packed, labelled, and stored properly before dispatch.
  • Support timely dispatch as per customer, distributor, and modern trade requirements.


5. Store Documentation

  • Maintain GRN, material issue slips, stock registers, inward and outward registers, rejection records, stock transfer records, and return records.
  • Ensure all documents are properly filed and available for audit.
  • Update inventory records daily in ERP, Excel, or company-approved format.
  • Prepare daily, weekly, and monthly stock reports for management.


6. Storage & Housekeeping

  • Ensure proper storage of materials in designated locations.
  • Maintain clean, safe, and organized store area.
  • Ensure edible oil, packaging material, and finished goods are protected from dust, moisture, leakage, contamination, and damage.
  • Maintain proper stacking of cartons, bottles, caps, labels, pouches, and other materials.
  • Follow safety and hygiene practices as required in food/FMCG manufacturing.


7. Coordination

  • Coordinate with purchase team for pending material follow-up.
  • Coordinate with production team to ensure timely availability of materials.
  • Coordinate with quality team for inspection, rejection, and approval of materials.
  • Coordinate with accounts team for invoice, GRN, and stock reconciliation.
  • Coordinate with dispatch and logistics team for timely outward movement.


8. Compliance & Controls

  • Follow company SOPs for inward, outward, inventory, and material handling.
  • Ensure no material is issued without proper approval.
  • Maintain traceability of batch-wise material movement.
  • Support internal audits, statutory audits, and customer audits.
  • Report stock discrepancies, damage, leakage, expiry, or slow-moving materials to management immediately.


Required Skills

  • Good knowledge of store and inventory management.
  • Experience in FMCG, food, edible oil, or packaging industry preferred.
  • Ability to maintain accurate records.
  • Basic computer knowledge, including Excel and inventory software.
  • Knowledge of FIFO / FEFO, GRN, stock reconciliation, and material issue process.
  • Good coordination and communication skills.
  • Ability to manage labour and loading/unloading activities.
  • Responsible, disciplined, and detail-oriented.


Qualification

  • Minimum PUC / Diploma / Graduate in any discipline.
  • Prior experience in store operations is preferred.


Experience

  • 2 to 5 years of experience in stores, inventory, warehouse, or factory material handling.
  • Experience in edible oil, FMCG, food processing, or packaging industry will be an added advantage.


Reporting To

The Store Incharge will report to the Factory Manager / Plant Head / Operations Manager.


Key Performance Indicators

  • Accuracy of stock records.
  • Timely inward and outward entries.
  • Zero stock mismatch or minimum variance.
  • Timely material issue to production.
  • Proper store housekeeping and material storage.
  • Reduction in material damage, leakage, and wastage.
  • Proper documentation and audit compliance.
