Job Description
Role Overview
The Operations Executive will be responsible for ensuring smooth execution of customer orders from order confirmation until dispatch. The role requires close coordination with Sales, Factory, Purchase, Accounts, and Transporters to ensure timely production and delivery.
Order Management & Production Planning
- Receive confirmed customer orders from the Sales Team.
- Verify order details, specifications, quantities, and delivery commitments.
- Prepare daily production planning and communicate priorities to the factory.
- Ensure all confirmed orders are scheduled for production on time.
- Coordinate with the factory team to avoid production delays.
Production Monitoring
- Monitor the progress of all running orders in the factory.
- Follow up with production supervisors regarding job status.
- Identify delays or bottlenecks and escalate them immediately.
- Maintain a daily production status report.
- Ensure production is completed as per committed delivery dates.
Dispatch Planning & Coordination
- Prepare dispatch plans based on production completion.
- Coordinate with the Accounts Team for billing.
- Ensure dispatch is released only after receiving the billing and dispatch clearance (Green Flag).
- Coordinate with the dispatch team for timely loading and vehicle planning.
- Share dispatch details with the Sales Team and customers whenever required.
Raw Material Coordination
- Track incoming raw material deliveries from suppliers.
- Coordinate with transporters to ensure timely arrival of raw materials.
- Follow up on delayed consignments and resolve transportation issues.
- Inform Purchase and Factory teams about any expected delays.
- Ensure production is not affected due to raw material shortages.
Interdepartmental Coordination
- Act as the communication bridge between Sales, Factory, Purchase, Accounts, and Dispatch.
- Ensure smooth information flow between all departments.
- Escalate critical operational issues to management immediately.
- Maintain proper documentation and order tracking records.
Daily Reporting
Prepare and submit daily reports including:
- Orders received
- Orders under production
- Orders ready for dispatch
- Orders dispatched
- Pending raw materials
- Delayed orders
- Next day’s production plan
Key Performance Indicators (KPIs)
- On-Time Production Planning
- On-Time Dispatch Percentage
- Order Processing Accuracy
- Dispatch Delay Reduction
- Raw Material Availability
- Daily Report Accuracy
- Coordination Efficiency Between Departments
Required Skills
- 2–5 years of experience in Manufacturing, Packaging, or Operations.
- Strong planning and coordination skills.
- Good follow-up and problem-solving ability.
- Basic knowledge of Microsoft Excel and Google Sheets.
- Good communication skills in Hindi and English.
- Ability to work under deadlines.
- Organized, disciplined, and detail-oriented.
