About the RoleWe are looking for a proactive and organized Office Assistant to support the day-to-day administrative and operational activities of the office. The ideal candidate should possess excellent coordination skills, a service-oriented attitude, and the ability to manage multiple responsibilities efficiently while maintaining a professional front-office presence.
- Key Responsibilities:
- Office Administration & Facility ManagementEnsure smooth day-to-day functioning of the office premises.
- Maintain cleanliness, organization, and overall upkeep of the office.
- Coordinate with housekeeping, maintenance vendors, and service providers for timely resolution of issues.
- Assist in arranging meeting rooms and common areas for internal and external meetings.
- Inventory & Office Supplies ManagementMonitor stock levels of stationery, pantry items, and office consumables.
- Procure office supplies and maintain inventory records.
- Coordinate with vendors for quotations, purchases, and timely deliveries.
- Ensure uninterrupted availability of essential office materials.
- Courier & Dispatch ManagementHandle incoming and outgoing couriers, parcels, and official documents.
- Maintain records of dispatches and deliveries.
- Coordinate with courier agencies and ensure timely receipt and distribution of shipments.
- Reception & Front Office Responsibilities :
- Welcome visitors, clients, and guests in a professional manner.
- Manage visitor logs and coordinate with concerned employees regarding appointments.
- Handle incoming calls, redirect calls appropriately, and take messages when required.
- Assist in organizing company events, employee engagement activities, and meetings.
- Administrative SupportSupport HR and Administration teams in routine administrative activities.
- Maintain office records, documents, and filing systems.
- Assist in travel bookings, accommodation arrangements, and other logistics whenever required.
- Perform other administrative duties assigned from time to time.
- Eligibility Criteria
- Graduate in any discipline (preferred).
- Prior experience in office administration, front office, or facility management will be an added advantage.
- Freshers with good communication and organizational skills may also apply.
- Required SkillsGood interpersonal and coordination skills.
- Ability to multitask and work independently.
- Professional appearance and courteous behavior.
- Strong sense of responsibility and attention to detail.
- Language Proficiency
- English: Manageable spoken and written communication skills
- Hindi: Good working proficiency
- Kannada: Fluent (Preferred)
- Preferred Candidate
- ProfilePleasant personality with a positive attitude.
- Basic knowledge of Microsoft Office (Word, Excel, Outlook)
- Punctual, dependable, and willing to take ownership of office-related activities.
- Ability to interact effectively with employees, visitors, vendors, and external stakeholders.
