Purple Cactus is a fast-growing corporate gifting and merchandise company specializing in customized gifting solutions for businesses across the US and India. We help brands build meaningful relationships through thoughtful, premium, and personalized gifting experiences.
We are looking for a highly organized, proactive, and execution-focused professional who can independently manage procurement, vendor coordination, inventory, warehouse operations, packing supervision, backend office operations, and order fulfillment.
This is a leadership role critical to ensuring smooth day-to-day business operations while maintaining quality, timelines, vendor relationships, and operational efficiency.
Role Overview
The Operations & Procurement Manager will be responsible for handling end-to-end backend operations of Purple Cactus including procurement, vendor management, inventory coordination, packing operations, logistics coordination, production follow-ups, and office operational support.
The ideal candidate should be capable of managing both strategic and hands-on operational responsibilities in a fast-paced corporate gifting environment.
Key Responsibilities
1. Procurement & Vendor Management
- Develop and manage procurement processes for all gifting categories and materials.
- Identify, evaluate, and onboard reliable vendors, manufacturers, printers, packaging suppliers, and artisans.
- Source products from multiple vendors while ensuring competitive pricing and quality standards.
- Negotiate pricing, minimum order quantities (MOQs), payment terms, delivery schedules, and service agreements.
- Maintain strong relationships with existing vendors and suppliers.
- Build backup vendor networks for high-demand or urgent orders.
- Coordinate product sampling, sample approvals, and prototype evaluations.
- Track market trends, product innovations, and sourcing opportunities.
2. Purchase & Order Coordination
- Raise and process purchase orders based on sales and project requirements.
- Follow up with vendors regarding production updates, customization timelines, dispatch schedules, and deliveries.
- Coordinate printing, engraving, embroidery, branding, and customization activities.
- Ensure timely availability of products before packing and dispatch deadlines.
- Monitor vendor performance, delivery timelines, and quality consistency.
- Handle vendor escalations, replacement issues, and defective product resolutions.
3. Inventory & Warehouse Operations
- Maintain inventory records for products, packaging materials, inserts, branding materials, and consumables.
- Monitor stock levels and ensure timely replenishment.
- Conduct regular stock audits and inventory reconciliation.
- Coordinate inbound and outbound material movement.
- Raise GRNs (Goods Receipt Notes) and maintain procurement records.
- Organize warehouse storage for smooth accessibility and dispatch operations.
- Report damaged, missing, or defective inventory immediately.
4. Packing & Fulfillment Operations
- Supervise packing teams during order assembly and dispatch preparation.
- Ensure gift hampers and corporate gifting kits are packed accurately as per client specifications.
- Verify all items, inserts, branding materials, and personalized notes before final sealing.
- Maintain high presentation standards for premium gifting experiences.
- Manage dispatch schedules and daily packing targets.
- Ensure availability of packing materials such as boxes, ribbons, tissue papers, shredded fillers, tags, and labels.
- Conduct final quality checks before shipment.
5. Backend Office Operations
- Manage day-to-day backend operational activities of the office.
- Coordinate between sales, procurement, warehouse, packing, vendors, and logistics teams.
- Maintain operational reports, vendor records, purchase files, and dispatch documentation.
- Ensure smooth communication between internal and external stakeholders.
- Support management in operational planning and execution.
- Handle administrative coordination and office operational requirements.
6. Logistics & Dispatch Coordination
- Coordinate deliveries, courier dispatches, and shipment tracking.
- Ensure timely movement of samples, products, and client orders.
- Manage urgent deliveries and special dispatch requirements.
- Coordinate with courier partners and transport vendors.
- Monitor dispatch accuracy and client delivery timelines.
7. Quality Control & Process Management
- Ensure strict quality control across sourcing, packing, and dispatch processes.
- Conduct product inspections and vendor quality assessments.
- Maintain SOPs (Standard Operating Procedures) for operations and fulfillment.
- Improve operational efficiency and reduce errors, wastage, and delays.
- Implement systems for better workflow management and productivity tracking.
Qualifications & Experience
- Bachelor’s degree preferred.
- 1–3 years experience in operations, procurement, supply chain, warehouse management, or corporate gifting industry.
- Experience in gifting, merchandise, lifestyle products, FMCG, packaging, or e-commerce operations preferred.
- Experience managing vendors, procurement, and fulfillment operations is highly desirable.
