Job Title: Front Office & Operations Executive
Location: Pallikaranai
Employment Type: Part Time : Sundays: 9 45 AM - 1 15 PM, Weekday: 4 30 - 8 45 PM (Weekly off - 1 day)

Job Summary:
We are looking for a friendly, organized, and proactive Front Office & Operations Executive to be the face of our music school. This role combines front desk responsibilities with day-to-day operational coordination to ensure smooth functioning of classes, student support, and administrative activities.
Key Responsibilities
- Front Office: Welcome students, parents, and visitors with a warm and professional attitude.
- Handle walk-in enquiries, phone calls, WhatsApp messages, emails, and social media enquiries.
- Explain course offerings, schedules, fees, and admission procedures.
- Convert enquiries into student enrolments through effective follow-up.
- Maintain a professional and organized reception area.
- Student & Parent CoordinationManage student registrations and admissions.
- Schedule trial classes and regular classes.
- Coordinate with parents regarding attendance, holidays, events, fee reminders, and class updates.
- Maintain excellent relationships with students and parents.
Operations
- Coordinate daily class schedules with faculty members.
- Ensure classrooms are ready before every class.
- Monitor attendance of students and teachers.
- Maintain student records and operational documentation.
- Coordinate music events, workshops, concerts, examinations, and performances.
Administration
- Prepare invoices and collect fees.
- Maintain admission records, attendance reports, and payment records.
- Manage office supplies and inventory.
- Generate daily, weekly, and monthly operational reports.
- Support management with administrative tasks.
Sales & Customer Service
- Follow up with prospective students through calls and WhatsApp.
- Meet monthly admission and enrolment targets.
- Deliver an exceptional customer experience from enquiry through admission.
Required Skills
- Excellent communication skills.
- Friendly, confident, and customer-focused personality.
- Good computer skills, including Microsoft Office and Google Workspace.
- Experience using CRM systems or WhatsApp Business is an advantage.
Qualifications
- Bachelor's degree in any discipline.
- 0 – 3 years of experience in front office, administration, customer service, operations, education, or hospitality.
- Fresh graduates with excellent communication skills and a positive attitude may also apply.
