Job Title: Back Office Team Leader
Job Summary
We are seeking a highly organized and detail-oriented Back Office Team Leader to oversee and optimize our administrative backend operations. In this role, you will be responsible for leading a team of back office executives, monitoring daily workflows, and ensuring maximum accuracy and data integrity across all internal processes. The ideal candidate balances strong analytical skills with the ability to motivate, coach, and guide team members to meet strict operational deadlines.
Core Responsibilities
· Team Management & Leadership
o Supervise, mentor, and motivate daily performance of back office executives.
o Allocate and delegate daily tasks based on team capacity and expertise.
o Conduct performance reviews, identify training gaps, and execute coaching.
o Foster an open, collaborative, and highly accountable team environment.
· Operational & Workflow Oversight
o Manage day-to-day administrative functions including data entry and record-keeping.
o Monitor critical transaction processing, inventory levels, and documentation.
o Audit team outputs strictly to eliminate anomalies, data errors, and gaps.
o Optimize backend processes regularly to improve speed and resource utilization
· Reporting & Escalation Handling
o Compile, analyze, and present daily, weekly, and monthly performance reports.
o Tracks team Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).
o Act as the primary point of contact for complex operational escalations.
o Coordinate smoothly with front-office teams and management for seamless alignment.
· Compliance & Data Security
o Ensure the team adheres fully to company compliance and safety standards.
o Enforce strict data security policies to maintain the safety of confidential files.
Required Skills & Qualifications
· Education & Experience
o Bachelor’s degree in Business Administration, Finance, or a related field.
o Minimum of 2–4 years of experience in a back-office or administrative role.
o At least 1–2 years of proven experience in a leadership or supervisory position.
· Technical Skills
o Advanced proficiency in MS Office Suite, specifically Excel formulas, VLOOKUPs, and pivot tables.
o Familiarity with industry-specific CRM platforms, ERP, or data management systems.
o Excellent data entry skills with an emphasis on high typing accuracy and speed.
· Soft Skills
o Strong written and verbal communication skills for team management and reporting.
o High-level organizational, multi-tasking, and time-management abilities.
o Robust problem-solving mindset with a proactive approach to handling friction.
Key Performance Indicators (KPIs) for the Role
· SLA Adherence: Meeting or exceeding processing deadlines consistently.
· Accuracy Rate: Maintaining data error rates below the target threshold (e.g., <1%).
· Team Productivity: Optimizing outputs per executive to hit operational targets.
· Employee Retention: Low turnover within the backend team through strong engagement.
