kRtyaVed Performing Arts is a premier academy dedicated to preserving and promoting Indian classical performing arts through excellence in training, performances, and cultural education. We are looking for a proactive, highly organized, and enthusiastic Office Coordinator who can ensure the smooth functioning of the academy while delivering an exceptional experience to students and parents.

Key Responsibilities
1. Lead Generation & Admissions
* Handle new enquiries through phone, WhatsApp, social media, and walk-ins.
* Counsel prospective students and parents about courses and programs.
* Follow up with leads and convert enquiries into admissions.
* Maintain the admission pipeline and enquiry database.
2. Student Administration
* Manage student registrations and admissions.
* Maintain attendance records.
* Ensure student data is updated accurately.
* Prepare receipts, invoices, and fee records.
3. Fee Management
* Track fee payments and outstanding dues.
* Send payment reminders and follow up on pending fees.
* Maintain accurate financial records related to student fees.
4. Scheduling & Operations
* Prepare and maintain class timetables.
* Coordinate faculty schedules.
* Manage studio and venue bookings.
* Ensure classrooms and resources are ready before sessions.
5. Documentation
* Maintain admission forms, consent forms, examination records, certificates, and student files.
* Organize both digital and physical records.
* Ensure documentation is accurate and confidential.
6. Parent & Faculty Communication
* Serve as the primary point of contact for parents and students.
* Coordinate communication between faculty, management, and families.
* Respond to calls, emails, WhatsApp messages, and enquiries professionally.
7. Event Coordination
* Coordinate annual day, workshops, Arangetrams, competitions, and performances.
* Manage venue bookings and vendor coordination.
* Coordinate costumes, photography, videography, lighting, sound, catering, and logistics.
* Ensure smooth execution of academy events.
8. Vendor Management
* Liaise with external vendors.
* Obtain quotations and coordinate bookings.
* Ensure timely delivery of services and materials.
9. Social Media Coordination
* Coordinate with the marketing team for content shoots.
* Schedule students and faculty for recordings.
* Suggest content ideas for Instagram, YouTube, and other digital platforms.
* Assist in planning the monthly content calendar.
10. Reporting & Administration
* Prepare monthly enquiry and admission reports.
* Track conversion rates.
* Assist with salary calculations.
* Support basic P&L reporting and administrative documentation.
* Maintain inventory of office supplies and academy materials.
11. Crisis & Operational Management
* Handle operational challenges during performances, workshops, and events.
* Resolve scheduling conflicts efficiently.
* Ensure uninterrupted day-to-day operations.

Preferred Qualifications
* Bachelor’s degree in any discipline.
* 0-3 years of experience in administration, operations, customer relations, education, or event coordination.
* Experience in an academy, educational institution, performing arts organization, or service industry is preferred.
* Interest in Indian classical performing arts is an advantage.

Work Timings- Day Shift (flexible)
(or as per scheduled classes/events)
Weekly Off: Sunday
Additional hours may be required during annual events, performances, workshops, festivals, and examinations. Compensatory off may be provided based on operational requirements.
