Procurement Executive

Job Summary:A purchase Jr. engineer is responsible for coordinating procurement activities, ensuring timely purchase of materials, maintaining vendor communication, tracking deliveries, and supporting smooth execution of projects.Key Responsibilities:Coordinate with stores, and planning teams to understand material requirements.Prepare and issue purchase inquiries to vendors.Collect quotations and compare rates, quality, delivery timelines, and payment terms.Prepare purchase orders after management approval.Follow up with vendors for order confirmation, production status, dispatch, and delivery.Ensure timely Delivery of solar materials such as modules, inverters, structures, cables, earthing material, ACDB/DCDB, and other BOS items.Maintain records of quotations, purchase orders, invoices, delivery challans, and vendor details.Coordinate with logistics teams for transportation and material delivery to site.Monitor pending orders and update internal teams regarding delivery schedules.Ensure purchased materials meet required specifications, certifications, and quality standards.Coordinate with accounts team for invoice submission and vendor payment follow-up.Resolve issues related to shortages, damages, wrong material supply, or delivery delays.Develop and maintain good relationships with vendors and suppliers.Support in identifying alternate vendors and obtaining competitive pricing.Prepare procurement MIS reports and pending material reports.Required Skills:Good communication and negotiation skillsStrong follow-up and coordination abilityKnowledge of procurement process and documentationUnderstanding of solar products and materialsProficiency in MS Excel, ERP, and email communicationAbility to manage multiple vendors and orders simultaneouslyAttention to detail and documentation accuracyKey Performance Indicators (KPIs):On-time material deliveryCost savings through negotiationVendor response and performancePO processing timePending order closureReduction in material shortages and delaysAccuracy in procurement documentationSkills
