Employment Type : Full-Time (Flexible Working Hours Morning 9 to 12 & Evening 5 to 9)


About the Role

We are seeking a responsible and organized Admin & Accounting Executive to manage the day-to-day administrative, accounting, and resident coordination activities of a residential society with approximately 500 members/flats. The ideal candidate should have strong accounting knowledge, administrative skills, communication abilities, and experience in society/apartment management operations.

  • Key ResponsibilitiesAdministrative ResponsibilitiesHandle daily office administration and society operations.
  • Maintain records of residents, tenants, vehicles, staff attendance, vendors, and contracts.
  • Coordinate with committee members, residents, security staff, housekeeping, and maintenance teams.
  • Manage complaints and service requests from residents and ensure timely resolution.
  • Organize society meetings, prepare meeting agendas, and maintain MOM (Minutes of Meeting).
  • Maintain documentation related to AMC contracts, insurance, legal papers, licenses, and compliance records.
  • Coordinate with government authorities, municipal bodies, and utility service providers when required.
  • Supervise gate management, visitor records, and common facility usage.
  • Monitor inventory and procurement of office and maintenance supplies.
  • Accounting ResponsibilitiesMaintain society accounts, books of accounts, and financial records accurately.
  • Prepare and issue maintenance bills/invoices to members.
  • Track maintenance collections and follow up on pending dues.
  • Handle vendor payments, petty cash, reimbursements, and expense tracking.
  • Reconcile bank statements and maintain cash flow records.
  • Prepare monthly income & expenditure statements and financial reports for the managing committee.
  • Assist in annual budgeting and audit processes.
  • Maintain GST/TDS records (if applicable) and coordinate with CA/auditors.
  • Ensure proper filing of invoices, receipts, vouchers, and payment records.
  • Use accounting software such as Tally, Excel, or society management software.
  • Required QualificationsBachelor’s degree in Commerce (B.Com) or related field.
  • 2–5 years of experience in accounting and administration.
  • Experience in residential society/apartment management preferred.
  • Knowledge of Tally ERP, MS Excel, and basic computer operations.
  • Understanding of society accounting, maintenance billing, and vendor management.
  • Good communication and interpersonal skills.
  • Ability to multitask and handle residents professionally.
  • Preferred SkillsStrong organizational and documentation skills.
  • Problem-solving and coordination abilities.
  • Basic knowledge of statutory compliance and audit support.
  • Experience with apartment/society management software is an advantage.
  • Working Hours 6 days a week
  • [Morning 9: 30 to 12:30 & Evening 5:30 to 9:30
  • Salary Based on experience and qualifications.
  • Reporting To Managing Committee / Society Chairman / Secretary /Tresurer
  • Additional Expectations Maintain confidentiality of society financial and resident information.
  • Ensure smooth day-to-day functioning of society operations.
  • Be available during emergencies or important society events when required.
