Job Title: Executive Assistant
Reports To: CEO
Location: Khokhra, Ahmedabad
Job Type: Full-time
Job Summary
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide administrative support to CEO.
The ideal candidate will serve as the "right hand" to leadership, managing complex schedules, correspondence, and special projects to enhance executive productivity.
You will act as a primary liaison between the executive and internal/external stakeholders, representing the company with professionalism.
Key Responsibilities
- Calendar & Meeting Management: Manage complex calendars, scheduling meetings, prioritizing inquiries, and resolving scheduling conflicts proactively.
- Communication Liaison: Act as the first point of contact, screening calls, managing inboxes, and drafting correspondence/emails on behalf of the executive.
- Travel & Logistics: Coordinate comprehensive travel arrangements, including flights, accommodation, visas, and detailed itineraries.
- Document & Information Management: Prepare, proofread, and edit reports, presentations, and memos. Organize and maintain digital and physical filing systems.
- Expense & Financial Reporting: Reconcile expense reports and process invoices accurately.
- Special Projects & Events: Assist with planning company off-sites, board meetings, and team-building events.
- Confidentiality & Discretion: Handle sensitive, confidential company information with the highest level of integrity.
Required Skills and Qualifications
- Experience: 3-5+ years of experience supporting C-Suite or senior-level management.
- Technical Proficiency: Advanced knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams).
- Follow-up: Excellent follow-up skills
- Communication: Exceptional verbal and written communication skills.
- Organizational Skills: Superior multitasking skills with the ability to work under pressure and meet deadlines.
- Proactivity: Proven ability to anticipate needs and solve problems independently.
Preferred Qualifications
- Experience with CRM systems (e.g., Salesforce) or project management tools (e.g., Asana, Trello).
- Bachelor’s degree in Business Administration or related field.
