Job Title: Executive Assistant (Multi-Hat Dynamo)

Location: Bengaluru, Karnataka (Hybrid: 3 days office + flexi-shifts; open to 24/7 responsiveness)

Reports To: Entrepreneur / Business Owner


Job Summary

We're seeking a versatile Executive Assistant ready to wear multiple hats in a fast-paced entrepreneurial ecosystem spanning real estate, import/export, events, branding, and spiritual ventures. This isn't a fixed-role position—it's for a passionate learner who thrives in flexi-shifts (including early mornings or evenings), hybrid work, and handling daily tasks across businesses with ownership mindset. Preferred candidates bring prior experience as a Personal Secretary, delivering proactive support that scales with growth. Expect to evolve from admin tasks to strategic contributions, fostering efficiency in a sunrise-to-sunset operation.


Key Responsibilities

  • Manage daily executive calendar: Schedule meetings, travel (domestic/international), and reminders across businesses; handle 50+ emails/day with prioritization.
  • Multi-business coordination: Track real estate leads (CRM like Zoho), import/export logistics (shipping docs, vendor chases), event planning (venues, invites via WhatsApp/LinkedIn), and branding tasks (content scheduling).
  • Admin powerhouse: Prepare proposals, invoices (GST-compliant), reports; book flights/hotels/beach getaways; manage office supplies/inventory.
  • Flexi-shift operations: Early morning research (e.g., market trends, Hindu ritual timings), evening social media posts (LinkedIn/FB for networking), ad-hoc event support.
  • Proactive growth: Learn on-the-fly (e.g., AI tools like Perplexity for creative direction, basic Sanskrit for rituals); suggest process improvements (e.g., automated workflows in Google Workspace).
  • Confidentiality guardian: Handle sensitive docs (contracts, strategies); assist with personal tasks (e.g., greeting card designs, spiritual research).
  • Cross-business liaison: Coordinate with external teams (lawyers, designers, HR); track milestones across 5+ ventures.
  • Hybrid efficiency: Seamless office/remote transitions; set up virtual meetings flawlessly.


Qualifications and Experience

  • Diploma and/ or Bachelor's degree (any field; Commerce/Business preferred).
  • 2+ years as Personal Secretary/Executive Assistant in entrepreneurial/SME setups; hospitality/real estate exposure a plus.
  • Proven multi-tasking: Managed calendars/logistics for busy principals across sectors.
  • Tech proficiency: Google Workspace, MS Office, CRM (Zoho/HubSpot), WhatsApp Business, basic Canva/AI tools.
  • Bengaluru local (Koramangala/Indiranagar preferred for hybrid).


Required Skills and Competencies

  • Multi-Hat Mastery: Seamlessly switches from admin to creative/research tasks.
  • Flexi-Shift Adaptability: Comfortable with 7 AM starts or 9 PM closes; 45-50 hours/week average.
  • Passion to Learn: Self-starts courses (e.g., David Ogilvy copywriting, event curation); grows into junior strategist.
  • Proactive Ownership: Anticipates needs (e.g., preps beach travel itineraries with ritual sites).
  • Communication: Fluent English + Kannada/Hindi; polished emails/calls; cultural sensitivity for Hindu traditions.
  • Discretion & Hustle: Thrives in ambiguity; error-free under pressure.
