Job Title: Operations Executive
Job Summary:
The Operations Executive is responsible for overseeing daily centre operations, ensuring smooth class delivery, maintaining accurate records, and coordinating with multiple teams to achieve organizational goals. The role requires strong communication, monitoring, and reporting skills to ensure operational efficiency across centres.
Key Roles and Responsibilities:
Operations Management:
· Monitor daily centre operations to ensure classes are conducted smoothly and adhere to the schedule.
· Track and maintain accurate attendance records of youth, including present and absent status.
· Coordinate with Changemakers to gather updates on upcoming batch statuses.
· Liaise with the CCA team to obtain admission-related updates.
· Monitor CCTV footage to ensure proper classroom management and discipline.
· Arrange online sessions through the Head Office (HO) team or alternate Changemakers in case of faculty absence.
Communication & Coordination:
· Regularly monitor and respond to official emails in a timely manner.
· Collaborate with HR to discuss centre-related concerns and Changemaker requirements.
· Coordinate with the placement team to address centre-wise placement issues and escalate critical matters to management.
· Engage with the counselling team to review youth performance and identify low and average-performing centres.
Data Management & Reporting:
· Verify and ensure all required documents and youth photographs are accurately updated in the Agam portal.
· Generate reports from the Agam portal, including youth details, family details, placement data, and other operational metrics.
· Prepare and update quarterly reports, including success stories and supporting photographs.
· Maintain updated records of centre-wise targets and actual achievements (donor-wise) in Google Drive.
Accounts & Compliance:
· Verify referral amounts in Atlas and process them accordingly.
· Review and process partner centre invoices post batch completion, ensuring all supporting documents are verified.
· Follow up with centres for pending youth fee collections and ensure timely updates.
Training & Monitoring:
· Conduct BCA sessions to explain operational processes and train teams on the Agam portal, emphasizing data accuracy and timely updates.
· Conduct training sessions to students on computer applications, Excel and Tally, as required by management.
Reporting:
· Provide daily updates to management (Ramesh Sir) on operational issues, batch progress, and any delays in batch commencement.
Skills & Requirements:
· Strong organizational and multitasking abilities
· Excellent communication and coordination skills
· Attention to detail and data accuracy
· Proficiency in MS Office and reporting tools
· Ability to handle multiple stakeholders effectively
