Job Description
Overview
Adeba is on the search for a detail-oriented and proactive Operations Coordinator to support our daily business functions. This role is central to ensuring smooth coordination between sales, procurement, and delivery teams to ultimately delight our customers.
You will be responsible for managing orders, ensuring accurate inventory, facilitating internal communication, and keeping our backend operations and supply chain running like clockwork. This is an ideal role for someone who enjoys solving problems, organizing workflows, and playing a key role in a growing distribution business.
Key Responsibilities
Order & Inventory Management
- Process daily customer orders and ensure timely handover to procurement and delivery
- Track all open orders, follow-ups, and ensure timely updates to customers
- Maintain accurate inventory records and notify teams of low stock
- Coordinate inward and outward stock movement with procurement and delivery staff
- Help with loading, unloading, and any operations tasks that the company requires.
- Deliver goods to customers when the team needs support.
Operations Coordination
- Create and maintain internal trackers for orders, vendors, deliveries, and payments
- Prepare delivery challans, invoices, and order documentation
- Communicate with sales team regarding delivery schedules, or issues
- Ensure smooth information flow between field staff and office teams
Support Functions
- Assist sales and procurement team with administrative tasks like quote prep, SO creation, PO creation, and other administrative tasks.
- Assist in maintaining digital filing of documents and keeping all records up to date
- Prepare reports on orders, inventory, and pending actions
- Driving the 4-wheeler commercial mini-truck occasionally.
Qualifications
- 1–3 years of experience in operations, and supply chain coordination (distribution or trading company preferred)
- Strong communication and organizational skills and comfortable working in a fast-paced, hands-on environment
- Proficiency with invoicing and inventory software, and Microsoft Office tools
- 4-wheeler driving license + ability to drive.
